Summary

Yorkshire Fertility is a satellite IVF unit seeing 900 new referrals and 500 IVF cycles each year, linking in with a number of IVF units for their laboratory services.

The post will involve providing a friendly customer focused reception/clerical service to clients attending appointments at Yorkshire Fertility and to provide admin support to the service.
• Deliver all reception and telephone duties in a courteous and friendly manner, including efficient and timely message taking and passing the call or message to the appropriate person
• To maintain a smart and tidy appearance at all times in line with the Company dress code and uniform policy (uniform will be provided).
• Book patients into appropriate clinics using electronic booking systems, for clinic, semen analysis and blood test appointments
• Assist with the preparation and clearing of consultation rooms as required
• Provide admin support as required for the service, including word processing, sending and receiving emails, production of spreadsheets using Excel, photocopying, filing, archiving, faxing, scanning
• To register new patients and input accurate patient data on the IT systems ensuring that patient details are kept up-to-date.
• Assist with the accurate filing of patient notes

• To retrieve patient notes for all forthcoming clinics.
• To deal with incoming email information from the central clinics and other NHS Trusts
• To deal with Email queries from patients
• Deal with internal and external post
• Input data on to appropriate IT systems as required
• Fire Warden duties
• Report incidents in timely manner
• To attend Admin and Clinical team meetings
• Be willing to work flexibly.
• To comply with the Human Fertilisation and Embryology Authority’s Code of Practice, the Care Standards Act 2008, the Care Standards Regulations 2010 and the Data Protection Act, with special reference to patient confidentiality.To keep the waiting areas tidy at all times.
• Effective liaison with all internal and external organisations, including Estates, and Facilities Management teams
• Ability to plan, prioritise and organise own workload, working to specific deadlines
• Be willing to work flexibly
• To comply with the Human Fertilisation and Embryology Authority’s Code of Practice, the Care Standards Act 2008, the Care Standards Regulations 2010 and the Data Protection Act, with special reference to patient confidentiality.
