Summary


We are looking for someone with good administration skills to come and work as a Breast Unit Secretary. The successful candidate will be required to work as part of a Team providing an efficient and effective secretarial and administrative service.

Computer and keyboard skills are essential, along with knowledge of working with Microsoft packages, including Word, Excel, and Outlook.

• To provide an efficient and comprehensive secretarial, typing and administration support service for the Breast Service; performing all allocated secretarial and administration tasks required to meet the needs of the service.
• To work as part of the Breast Administration Services supporting the Breast Consultant Surgical Team, Breast Care Nursing Team, Breast Services Manager and Administration Manager, and wider Breast Services colleagues.
• To maintain a good working relationship between colleagues, internal and external agencies, and patients as appropriate, having good communication skills, a sympathetic manner, discretion and the ability to deal with sensitive medical information.
• To provide a point of contact for enquiries using tact, diplomacy and confidentiality, and deal with, or escalate, each situation accordingly

Utilise all computer systems required for the completion of day to day secretarial/administration tasks within the Breast Unit. (Careflow – Patient Administration System, E-Track, Somerset, EPRO, ICE, EVOLVE and CRIS, etc.).

Develop and maintain a sound knowledge of Breast Services medical terminology, including, symptoms, diagnostic tests, drugs, dressings, and surgical interventions.

Using EPRO to audio transcribe Priority letters, Clinic Letters and ‘Other Letters’ as dictated by the Consultant/ other Health Care Professionals Teams within the required Trust deadlines. To issue/print approved Clinic letters from the Consultant/ other Health Care Professionals Teams, twice daily

To act as first point of contact by providing telephone cover and dealing with queries/requests as necessary from patients, members of the public, other departments, trust, wider networks.

To check clinic filing and bring forwards daily to ensure appropriate paperwork forwarded to Consultant/Nursing Teams as required.

To collect and distribute post twice daily, and to send out patient letters and internal post as appropriate. To process required actions from Consultant Post/Results Folders as necessary.

To help monitor Breast Secretaries’ generic inboxes for emails and faxes daily and action/escalate as required.

Book/Cancel/Rearrange Breast Service Outpatient appointments as required, and in response to urgent referrals/requests (liaising with the Outpatients Booking Team, Senior Administration Team or Breast Care Nursing Team as required to identify slots). To add Referrals as necessary in line with Secretarial Work Instructions

Support the Senior Admin Team by inputting 1st Appointments for 18 Week Validation and Cancer Tracking.

Using the Trust Electronic Document Management system and procedures, process loose filing. Request urgent Event Packs as required.

Assist with general office duties including photocopying, laminating, printing Theatre lists off bespoke Trust system, acting as ‘runner’ as required for example taking donations to Cash Office.
