Role Length: This opening assignment is for 3 months

Hybrid working – 4 days in the office

The purpose of the role is to provide complete Executive Support, personal, administrative and secretarial services to members of the Housing and Social Investment leadership team.

Key responsibilities:

Co-ordinate approvals and correspondence on behalf of Exec Director and DMT Reports.
Collate information and prepare briefings and presentations, gathering, analysing and presenting as appropriate.
Provide office management, managing diaries, organising meetings, responding to direct enquiries, screening correspondence, putting in place logistical arrangements and redirecting enquiries as appropriate.
Ensure administrative arrangements in place for all meetings including scheduling, setting agendas, taking minutes and managing follow up actions.
Deliver a professional, confidential and customer focussed service to all, including responding to highly sensitive matters.
Coordinate Departmental approach on strategic priorities including business continuity and the Council’s Forward Plan, being an administrative point of contact for the service.
Work with the Customer Experience team to ensure all complaints and Member queries addressed to Directors are logged, investigated, and responded to within agreed timescales.
Ensure adequate security arrangements maintained for confidential and sensitive information.
Manage, coordinate and organise the end to end recruitment process of members of staff as instructed and support new starters.
Deal sensitively with all correspondence to directors using judgment to ensure appropriate handling.
Case manage data requests as directed by Data Protection colleagues to ensure they are completed within statutory deadlines (FOIs and SARS), including sign off by the Director / Executive Director where necessary.
Manage various stakeholders to achieve desired outcomes including Councillors, MPs, Local and Central government Officers.

Experience:

Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
Previous experience as an executive support assistant/PA.
Minute taking experience and skills.
Experience of diary management.
Previous experience of delivering a wide range of administrative functions.
Demonstrable previous experience of managing multiple complex diaries at senior executive level.
Excellent verbal and communication skills, with the ability to convey ideas and present complex information in a clear and simple way.
Experience in organising events and working on projects. Being able to liaise with multiple partners / departments to ensure favourable outcomes under the supervision of the Business Co-ordination Manager.
Excellent interpersonal and networking skills, with the ability to develop positive and effective partnerships with staff from other council departments, other organisations and agencies.
Experience of working with confidential / sensitive information.



Skills & Abilities:

Inbox management skills.
Ability to manage complex, high volume and highly confidential information.
Excellent administrative and organisational skills are a must.
Able to engage with internal and external stakeholders in a friendly and professional manner.
Ability to work well in a team. Able to work productively and collaboratively in a busy and changing environment
Willing to learn and master knowledge, skills or systems required for your work. Ability to follow processes and procedures.
Well-presented, personable, and able to express yourself clearly and confidently.
Ability to work without supervision, using own initiative to prioritise own and others’ needs to tight deadlines.
Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
