Summary


This is a unique opportunity to work within Gateway F based in the Nottingham Treatment Centre as part of the Ambulatory Care Division at Nottingham University Hospitals.

Gateway F is the Outpatient Department for Gynaecology and Colposcopy

An exciting opportunity has arisen within the Gynaecology Speciality for a Band 3 Outpatient Administrator.

We offer a supportive teamwork structure and an opportunity to further your skills, gaining competency in areas such as referrals, face to face communication skills and telephone skills.

We are looking for a dedicated, individual who is committed to providing the highest standards of care for our patients.

You will work closely with all members of bookings team contributing to the development of a highly skilled workforce.

You will be working on internal rotation shift pattern. The hours will be from 8am – 6pm Monday to Friday but may also include occasional weekends on a rota basis.

Working as part of the outpatient team the role will involve providing high quality admin and clerical
support. The post holder will need to use their initiative and skills to ensure the effective provision of a quality service. The main role/duties of the post are outlined below.



Be responsible for arranging appointments Using Medway PAS or any other relevant electronic booking systems arrange appointments for new and follow up clinics.
Deal appropriately with enquiries, by telephone and in person, from staff and the general public, seeking advice

Ensure all referrals are logged and booked in a timely manner meeting the standards in the NUH Access Policy.

Print appointment/procedure confirmation letters as necessary and send to patients with the relevant information leaflets promptly.

Keep personally updated and be able to advise patients in relation to peripheral services available, i.e. transport, interpreting services etc.

Notify Outpatient Co-ordinator of any patients who fail to attend their appointment who will take necessary action in line with department and/or Trust policies.


Be able to competently use Medway PAS and other technology systems and participate in training programmes to develop and update personal skills to meet the needs of
the department

Maintain tidy, safe working environment, reporting any hazards or faults timely and appropriately.

Present a professional, polite and courteous attitude at all times and be appropriately dressed when on duty.
