Summary

Part time, 14 hours (two days) a week

Isle of Wight Homeless Services provides support to adults who are homeless or at risk of homelessness across a number of properties, one of these being a dedicated women’s only service.

Our aim is to provide person-centred support to our clients, empowering them to gain the life skills they require to move on to more independent living. We also work with a range of agencies to maximise the support and opportunities for clients.

The role provides administrative support and enables effective systems and procedures to be maintained in the efficient running of the service.

MAIN RESPONSIBILITIES

To provide administrative support to the service including receiving, recording and storing funds, processing invoices, banking, ordering and stock control of supplies – in accordance with set processes
To generate letters, take minutes, oversee post, log and report faulty equipment or damage to the property
To check, reconcile and report on clients’ rent accounts
To collate ex-clients' rent arrears, and produce reports to enable write offs
To administer clients’ housing benefit and Department for Work and Pensions records on our systems, liaise with external authorities if needed
To complete statutory and regulatory forms and provide data for management reporting
To liaise with support workers regarding client matters
To adhere to safeguarding responsibilities, following our safeguarding policy and procedure
To help maintain health and safety, ensuring clients, visitors and buildings are safe in accordance with Health and Safety regulations, policy and procedures
To maintain accurate records on our client management system and ensure these are stored in line with GDPR
To maintain confidentiality
To carry out any other reasonable duties required in the interest of the organisation

ROLE REQUIREMENTS

This role will require an Enhanced with Barred List(s) disclosure and barring service check is a requirement for this role. This would be completed on appointment of the role

EXPERIENCE, QUALIFICATIONS/TRAINING, KNOWLEDGE, AND SKILLS
ESSENTIAL CRITERIA
Good standard of general education to GCSE level in Maths and English
Strong communication skills, both verbal and written
Strong administration and organisational skills
Competent in knowledge of Microsoft Office – Word, Excel, Outlook
Customer service skills
Good problem-solving skills
Ability to manage and prioritise workload
Ability to self-motivate as you will work on your own as well as in a team
DESIRABLE CRITERIA
Typing or IT qualification (RSA, CLAIT, ECDL)
Knowledge of voluntary and statutory agencies, housing regulations and the benefits system
Understanding of the support needs of people experiencing homelessness or those with complex needs
