Summary

ABOUT THE ROLE:

We are currently recruiting for a motivated, reliable and customer focused Receptionist to join our team based at 38-43 Lincoln`s Inn Fields, London, WC2A 3PE.

Job Type: Permanent - Part Time.

Pay Rate: £11.95 per hour.

Working Hours: 20Hrs per week, 4Hrs per day, Monday to Friday - 06:45Hrs to 10:45Hrs.

Start Date: Immediately.

Flexible to cover receptionist team annual leave. Prior experience as Receptionist is essential.

Key Responsibilities and Tasks:

As a Receptionist, you will provide a personalised, warm and friendly service to visiting members, guests and visitors. You will act as the first point of contact for arrivals to the site (a Royal College), carrying out the daily receptionist duties: taking reservations, compiling and maintaining files, attending to any member comments/complaints efficiently and courteously, while also supporting the cleaning and security team in the security of the College and ensuring that the Royal College rules are followed.

You will assist other departments as and when necessary, particularly our cleaning teams.

Key Responsibilities and Tasks:

-Welcome members, guests and visitors in a friendly, professional way.
-Notify College personnel of visitor arrival.
-Direct visitors by maintaining employees and department directories.
-Maintain security by following procedures, monitoring logbook, and issuing visitor badges.
-Answer, screen and forward incoming phone call in a courteous manner.
-Provide basic and accurate information in-person and via phone/email.
-Keep a safe and clean reception area by complying with procedures, rules, and regulations.
-Support continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
-Deal with all enquiries relating to the booking of meeting rooms and setting up of the rooms.
-Contribute to team effort by accomplishing related results as needed.
-Provide great customer service.
-Complete administrative duties.
-Sort and distribute incoming post and organise and send outgoing post.
-Order front office supplies and keep inventory of stock.
-Update calendars and schedule meetings.
-Support the cleaning and security team.
-Perform other clerical duties such as filing, photocopying, transcribing and faxing.

Key Skills:

-Experience in a similar role
-Excellent IT skills - using Outlook, Word, Excel, PowerPoint etc.
-Strong administrative skills
-Ability to multi-task, flexible and adaptable
-Excellent customer service skills
-Good communication skills
-Ability to maintain a positive attitude
-A good command of written and spoken English
-Works well under pressure

Previous experience is desirable; however, full training will be provided. You will need to present and conduct yourself in a professional, courteous and appropriate manner in accordance with the Company policies, procedures, guidelines and values.
