We would expect the candidate to be a good team player with a flexible approach to work, providing assistance to your colleagues and cover for sickness and annual leave, helping to ensure an effective administrative service at all times.

• Contribute to best practice and assist in developing working practice in the unit/team to deliver an efficient and effective administration service, ensuring Trust priorities including 18 week pathway.
• Arrange procedures, investigations, appointments and admissions and where appropriate to the Specialty, maintain waiting lists using initiative and judgement, working to Trust priorities and deadlines including 18 week pathway, liaising with departments and external bodies as appropriate
• Answer the telephone on behalf of the team ensuring correct messages are taken and distributed accordingly. Receive and record referrals, deal with general enquiries.
• Manage incoming and outgoing mail, distribute and action as necessary.
• Use of HIVE/Meditec (IVF EPR System) to track clinical appointments, locate medical notes, obtain copies of clinical letters and produce clinic lists. Forwarding all documents to relevant parties and taking action as required.
• Preparing presentational material when required.
• Ensure all visitors to the department are dealt with quickly, efficiently and in a courteous and professional manner.
• Liaise with other Trust staff members.
