We are seeking an enthusiastic and highly organised Senior Administrator. You will work as a part of a collaborative team to ensure a smooth and efficient service, made up of skilled and supportive Senior Administrators, Administrators and Administration Assistants. The team play a pivotal role in supporting our 8 Children’s Specialist Nursing Services, enabling clinical staff to provide high quality patient care to Children and Young People across Hertfordshire. The role demands excellent self-management and prioritisation skills to offer a high-quality service and the post holder will have responsibility for ensuring full admin support is offered to the clinical teams.

To provide comprehensive, high quality administrative support in the Children’s Specialist Nursing Admin team, undertaking a wide range of administrative tasks, including personal responsibilities for a number of delegated tasks and supporting the Children’s Specialist Nursing Administration Team Lead with line management responsibilities of Administrators and Administration Assistants as required. To work unsupervised, on own initiative to prioritise administrative tasks to ensure an effective and efficient running of the Children’s Specialist Nursing Services. The team supports Children’s Community Nursing, CYP Sickle Cell, Integrated Asthma/Wheeze, CYPCC Equipment and Supplies, CYP Continence, Young People’s Health Transition, Special School Nursing and Children’s Training services.

• To ensure as a Senior Administrator that the daily administration tasks are completed in an effective and efficient manner, providing excellent customer service.
• To provide assistance and support to patients, carers and staff, where appropriate, acting as a supportive member of the team at all times.
• To receive, record and relay telephone and e-mail correspondence efficiently and professionally, ensuring effective prioritisation of messages to appropriate teams. Ensure strict confidentiality of patient identifiable information, staff files and databases.
• To carry out routine entry of information on the SystmOne database and other related administrative tasks as part of a team including stock ordering, sending confirmation of admission on to the caseload and forwarding discharge summaries.
• To produce clinical correspondence as required by the service to a high standard and within specified timescales including the scanning of patient information onto SystmOne and typing of patient correspondence and appointments.
• To participate in the collection of data and audit programmes as required producing various data reports using SystmOne and other clinical systems and IT packages such as Microsoft Word, Excel, Power Point and Outlook.
• To be responsible for actioning the Sickle Cell Newborn Bloodspot Screening programme results, including instigating the fail-safe procedures and maintaining database to ensure compliance with National Standards.
• To maintain accurate database for medical devices and clinical equipment that teams have supplied to children, ensuring a robust process is in place to identify when servicing is required and to arrange servicing of the equipment.
• To support the Children’s Specialist Nursing Administration Team Lead with line management responsibilities for the Band 3 Administrators and Band 2 Administration Assistants as required, carrying out appraisals, 1:1’s, contributing to induction programmes and ensuring on-going training needs are met.
• To arrange and amend shifts on E-roster, supporting service Team Leads with the inputting of clinical rotas.
• To manage the booking, authorising and arranging of bank and agency staff through NHS Professionals.
• To be responsible for organising meetings including booking of venues, equipment, drafting and distributing agendas, taking minutes and type and distribute to relevant members of the team/multi-disciplinary team.
• To assist in the organisation of Children’s Specialist Nursing Awareness Events arranging venues, seeking funding and providing support.
• To prioritise own workload to meet deadlines and demands of the service.
• To liaise appropriately with individuals from a wide range of backgrounds.
• To contribute to discussions on service improvements and changes as part of the team.
• To provide cover as requested for colleagues and deputise for the Children’s Specialist Nursing Administration Team Lead in their absence.
• To be responsible for on-going personal development and to take an active part in identifying training needs and attending training as necessary.
