What is the role about?

The Validation Assistant JML DVSA role core aspect of the role is wrong towards setting up new internal and external starters, movers, and leavers via HR reports and via information trackers on the necessary systems that the Operational staff need access to undertake their daily role.

The role is heavily based around customer service, support and problem solving around access to various systems.

The delivery of the role must be accurate, timely, and issues clearly communicated back to operational teams and to their line management.

Just some of your day-to-day responsibilities will include

Internal Customer Service

  • Reviewing HR reports and information trackers (new starters, leavers, and movers)
  • Processing staff correctly on the various systems
  • Answering queries and explanations, in line with agreed guidance and process manuals, ensuring mutual understanding and agreement to proposed actions.
  • Ensuring that material is understood, and that extra support is provided, if necessary, by booking in a TEAMS call with the caller.
  • Assuring the integrity of data entered on electronic systems is accurately maintained.

Validation Delivery

  • To support, as directed by the Validation Team Leader and Executive, all activities relating paperwork validation and calls.
  • To provide, as directed by the Validation Team Leader and Executive, Operational support when raising queries.
  • To ensure, as directed by the Validation Team Leader and Executive, that the practices outlined in the process and validation manuals are carried out fully and communicated where necessary in and effective and consistent manner across all contracts and provision.
  • To ensure that the company conforms to the key items of validation, contractual compliance and housekeeping best practice.
  • To ensure the company is properly prepared for external audits through facilitating with Operations and other Support Teams the thorough and appropriate preparation of files and liaison with auditors when on site.
  • To ensure that the practices outlined in the process and validation manuals are applied in timely and consistent manner.
  • To perform analysis of validation rejections to identify key trends and highlight as directed by the Validation Manager and Executive across all regional operations and support teams.
  • To interrogate centrally produced management information and disseminate required actions and recommended activity to Operational and Support Teams.
  • Ensure robust audit trails are maintained, can be evidenced and reported on so that this can be clearly demonstrated at any external audits or visits.
  • Ensure that all personal and business targets are understood and met.

To be successful in this role, we are looking for someone with

Essential Criteria:

  • Intermediate knowledge of Excel; and intermediate knowledge of other Office packages.
  • Demonstrable experience gained in a fast-paced environment of the manipulation of data to inform work priorities and of the presentation of such data verbally and in the format of written reports.
  • Previous telephone or face to face customer service experience gained in a business to business or internal corporate environment.
  • Demonstrated ability to rapidly assimilate and work with complex procedures and processes and be able to explain elements of these clearly and simply as required to customers or other parties.
  • Exemplary attention to detail, when processing large volumes of information.
  • Ability to work on own initiative as well as with a team.
  • Exceptional time keeping and organisational skills including the ability to work to deadlines and manage priorities in consultation with line manager.
  • Work towards daily targets.
  • Excellent customer service skills
  • Being able to adjust to change in processes and guidance.
  • Being able to multitask on a daily basis.

Desirable Criteria:

  • Experience working in the welfare to work sector
  • Previous experience of working in a processing or compliance function including experience of contributing to the design and training of process manuals through the interrogation of contractual guidance and operational working methods.
  • Experience of providing a high quality advisory and guidance service to internal and external customers
