An exciting opportunity has arisen for a dedicated, efficient and enthusiastic Medical Staffing Administrator to join our friendly and supportive team based at Trust HQ, 350 Euston Road on a permanent basis.

The Medical & Dental Staffing and M&D Temp Staffing Services at Central and North West London NHS Foundation Trust (CNWL) is part of the larger team which is responsible for most transactional HR work at the Trust. We are making a number of changes to the Medical Staffing team with the aim of providing a more efficient service.

This is a split role across both teams. We are looking for a M&D Temporary Staffing Administrator with the aim of assisting our team in the recruitment of Doctors and undertaking administrative tasks.
• This is a split role to support the Medical Staffing and M&D Temporary Staffing Services in delivering an effective, efficient, cost effective and customer-focused service.
• To be responsible for the daily administration processes.
• To provide comprehensive and effective recruitment support in accordance with policies and procedures.
• To provide advice and support to medical staff in accordance with policies and procedures and national guidelines.
• To demonstrate excellent and flexible team working skills as well as provide cover for colleagues as required.

Recruitment
• To publish adverts via TRAC and NHS Jobs.
• To transfer new Bank applicants from Locums Nest to TRAC.
• To manage the recruitment process in line with NHS recruitment standards.
• To raise any concerns regarding recruitment process to the M&D Staffing Adviser.
• To set up and conducting an in-person ID check appointments and document verification by using an electronic ID document scanning device to support manual processes.
• To provide ID Badges to new starters.
• To issue offer letters and contracts of employment and ensuring personal and post details are correctly entered in to the Human Resource and ESR system within Payroll deadlines.
• To ensure all end to end recruitment process and communications take place within the TRAC system as well as maintaining regular and accurate updates on TRAC and ESR.
• To set up new Starters on the payroll system and Locums Nest and provide guidance.



Maintenance of Temporary Staff
• To liaise with Bank staff to ensure their training and GMC registration remain up to date, notifying the Temporary Staffing Adviser of any change in circumstances.
• To manage terminations, ensuring that information within the ESR system is accurate at all times.
• To monitor the use of bank staff, ensuring staff are removed from systems as necessary.
• To ensure hours worked by bank staff are correct and authorised by managers through the bank staff management system in line with policies and procedures, therefore ensuring the accurate payment of Bank staff.
• To raise any concerns or incidents regarding temporary staff (bank and agency) to the Temporary Staffing Adviser.



Other
• To ensure all relevant policies are followed and to notify the senior team members of any discrepancies or issues.
• To provide overview updates as required, including fill rates, usage etc.
• To undertake data input, photocopying, filing and typing duties as directed.
• To support the team to maintain accurate, timely and legible records.
• To respond to queries, both face to face, via email and telephone, take messages and pass them on to the relevant member of staff in an appropriate and timely manner.
• To undertake administrative tasks including agency invoice analysis as requested by senior team members.
• To be responsible for overall service delivery in line with the current and future KPI’s
• To ensure all appropriate paperwork is completed for all Doctors leaving/changing posts and all changes are accurately input onto the payroll system within deadline.
• To administer DBS renewals.
• Be responsible for running IAT reports, calculate NHS continuous service and updating ESR records.
