Summary

We are looking to recruit a full-time Senior Team Administrator for the Hillingdon District Nursing Service. We are a team of registered nurses, healthcare assistants, community nursing assistants and student nurses who work in partnership with patients, carers, GPs and other social care teams to provide high quality nursing care and advice to adults with an acute or chronic illness who are temporarily or permanently housebound. We operate 365 days a year including an extended hours twilight service.

This is a clinical service support role, and the post holder is expected to work from their assigned base.

The post holder will be responsible for providing efficient and high-quality oversight of administration processes to the District Nursing Team. The post holder will play an integral part of their team in order to maintain smooth running and operation of their service, working closely with the Team Lead and clinical staff.

The postholder will have experience in people management and line management responsibilities. The postholder will have strong administrative and leadership skills and will be able to evaluate and prioritise work in a busy clinical and office environment and respond quickly to daily changes in duties or service requirements.

The post holder will have excellent interpersonal skills and have the ability to communicate effectively with service users, carers, health professionals and team members.

In addition, the post holder must possess good IT skills and be able to analyse and interpret data. They will be required to help maintain clinical database systems, and assist with clinical audits and information monitoring.

The post holder will work under own initiative with a flexible and adaptable approach to the job role in order to meet the changing service needs.

Part of the role will be assisting the Clinical Team Lead in his/her clerical and managerial duties. This will involve a high level of discretion and confidentiality as the post holder will come into contact with some sensitive patient and staff data and information.

• To provide comprehensive administrative support to the District Nursing Service Leads.
• To line manage an administration team, ensuring that the service is adequately covered at all times.
• To organise, prioritise and delegate work across the team ensuring sufficient cover is in place.
• To develop and maintain administration staff rotas as required including cover for sickness, annual leave, lunch breaks, or to meet service demands.
• To work closely with Team Leads to ensure there is standardised practice across the service roles, and adherence to policies and procedures.
• To assess work priorities on a daily basis and provide direction and instruction as required.
• To provide regular supervision and yearly appraisals for allocated staff, identifying appropriate developmental and learning opportunities.
• To train new members of staff and supervise work of any temporary staff.
• To update Standard Operating Procedures when changes are implemented to services.
• To be willing and able to undertake the duties of a Team Administrator to meet service needs.
