The purpose of this role is to be responsible to the Youth Justice Business and Information Manager for providing the first point of contact for individuals and professionals who have concerns about children, young people and families requiring support due to serious youth violence or contextual safeguarding. To update Insight, data visualisation tool and support the preparation of reports based on the information contained. Provide effective co-ordination of the Pre-Mace panel and associated panels with flexible administrative support that ensures timely and appropriate recording of the needs and interventions of children, young people, and their families.

Key responsibilities:

Lead in providing administrative support to Panels carrying out such duties that are required to ensure the smooth and efficient running of the services, including distribution of agenda’s, minutes, and correspondence. Being the first point of contact (either by telephone, email, or face to face as part of these duties).
Lead in analysing complex information and data, producing reports that will contribute to assessing the needs of children, young people, and families.
Create and maintain an accurate up to date information database about children, young people, and families such as addresses, reports, minutes, and actions, ensuring the team’s timescales (statutory and internal) are met.
Responsible for the induction, coaching and mentoring of new members of staff, including those on secondment or placement, to include IT, administrative and financial procedures.
Responsible for the management of the smooth running of panels, including organising meetings including sending invitations, arranging venues, and circulating papers.
Undertake minutes to a high standard recording case discussions and responsible for implementing follow up actions by implementing systems to gather, record and alert members of actions, deadlines, and forthcoming meetings.
Actively contribute to meetings and update members on relevant statistical information such as number of children, ages, type of needs, reviews etc.
Produce complex data in regard to Key Performance Indicators, interventions, and outcomes to inform performance and work closely with the Performance Analysis Team to identify and resolve gaps and anomalies in system data
Carry out research and gather information to provide advice to colleagues and keep up to date with legislation and duties pertaining to contextual safeguarding and serious youth violence. Process and deal sensitively with returns of information and data, collate, and submit adhering to deadlines, ensuring that all inputting is undertaken swiftly and accurately.
Handle confidential and general correspondence; to draft letters and provide briefing notes where applicable, compiling and providing specific information to internal/external parties as directed by management.

Qualifications:

Educated to a level that demonstrates ability to produce medium level statistical information, reports, and other written work.



Experience:

Experience in dealing with internal and external customers, staff providers of services and ideally young people.
Minute taking skills and experience are essential.
Minimum of 12 months recent experience in a similar role or context and ideally within a public sector organisation.



Knowledge:

An understanding of and knowledge of the functions and responsibilities of children's services and their partners desirable.
Knowledge on the principles of confidentiality desirable.
An understanding of the key principles relating to safeguarding children desirable.
Understanding of and commitment to the Council’s equal opportunities policies and ability to put into practice in the context of this post.



Skills & Abilities:

A good level of literacy, numerical skills, oral and written communication skills.
Minute taking skills and experience are essential.
Ability to prioritise own workload and mange that of others and work under the appropriate level of supervision.
Excellent computer navigation and keyboard skills including MS Word, Excel, and PowerPoint.
