About the role

First Bus is currently going through a big change in how it handles its employee services. This is part of a larger effort by FirstGroup. The goal is to fix the current technology setup, make processes simpler, and make things better for employees overall. The project includes getting a brand new & intuitive HRIS & Payroll system, improving how things are done, and offering services that are structured and shared. You will work closely with the Group Strategy and Architecture Director, as well as with other teams in IT and HR.

Role Responsibilities

As the Project Coordinator, you will be responsible for supporting the project management team, ensuring the successful planning, execution, monitoring, tracking, and reporting of non-functional areas of the technology aspects of the project. This means that you are not going to be expert in the solution but will be pivotal in ensuring the technology requirements are delivered. Your role is crucial in coordinating tasks, maintaining communication channels, and providing essential administrative support to project managers to support the wider delivery team and stakeholders. Your responsibilities will include, but not limited to:

-You will support the project management team in planning, execution, and monitoring the project.

-You will coordinate and schedule project meetings, workshops, and other project-related events - both in person and via Teams for governance and open dialogue and decision making.

-You will prepare and distribute project documentation including meeting minutes, technical reports, and project plans.

-You will maintain project calendars, ensuring alignment with project milestones and deadlines.

-You will support Project Managers in tracking project tasks and deliverables, ensuring they are completed on time and within scope.

-You will monitor and report progress to project management and stakeholders using pre-defined tools.

-You will facilitate communication between different project teams and team members.

-You will provide administrative support to project managers and team members related to non-functional technical aspects.

Experience & Knowledge

-Do you have a minimum level of experience in a project coordination or administrative role within a technology-focused environment?

-How have you contributed to shaping, designing, and implementing major transformational changes in your previous roles?

-Are you proficient in using PM tools and software (e.g., Jira, MS Project)?

-Do you have recognised certification in Project or Change Management (AMP/ AMPG) and working experience delivering projects using Agile, PRINCE 2 principles?

-Can you provide examples of your collaboration with external vendors and partners in previous projects?
