Summary

• The IT Support Analyst provides support functions to the IM&T Department and the IT Director.
• The role reports directly to the IT Director
• The role directly supervises a part time band 3 administrator post
• Main location base will be the IT offices at Harbour Yard but role is required to cover all sites. Core hours will be 08:00 – 1600, Monday to Friday.
• The post holder is required to be onsite 5 days a week. This post may not be suitable for flexible working due to the requirement to provide onsite “front of house” duties at Harbour Yard.

Roles and responsibilities• Providing “Front of House” reception duties for the Harbour Yard IT Offices
• Managing procurement requests from Trust staff for IT hardware/software purchases raised through the ServiceNow IT service management system.
• Raising purchase orders and receiving goods delivered to Harbour Yard Offices
• Setting up new suppliers on the procurement system
• Managing the onsite stock of equipment coming and going at Harbour Yard IT offices.
• Obtaining and preparing quotes for IT equipment for business cases
• Fire Marshal for IT Offices at Harbour Yard
• Managing diary and booking appointments and rooms for IT Director
• Managing compliance of statuary and mandatory training of IT department staff. Ensuring staff complete their training and remain compliant.
• Managing orders for stationary and keeping track of stock
• Creating and maintaining department email distribution lists
• Preparing PowerPoint, Word, Excel documents for IT Director
• Tracking audit actions assigned to IT Director.
• Assisting department with administration tasks.
• Evaluating and testing software and applications. Carry out tasks in test scripts and record results of testing.
• Shadow the Digital Support Analyst role.
• Obtain Microsoft and ITIL accreditations through formal training opportunities offered
IM&T Administrative Support• Support the smooth and efficient running of the IM&T service, providing a triage point for all Procurement and HR processing
• Directly liaise with all IM&T staff to ensure the department maintains compliance with all Stat Man training requirements. Escalate any noncompliance to the IT Director.
• Directly liaise with IM&T Managers to ensure PDRs for all staff are completed and submitted in line with Trust requirements
• To maintain excellent communication with all managers and staff promoting a positive image of the Trust at all times
• To have a good working knowledge of HR and Procurement systems, provide guidance to IM&T managers in the understanding of the systems and completion of forms and purchase orders.
• Promote and provide technical support to managers and employees in the use of HR, Procurement and Finance systems


• Ensure that all procurement requests in the IT Service Management system are processed and tracked effectively, with accurate and timely progress updates


• Ensure that relevant HR databases such as ESR, SBS, Healthroster, are used effectively, and that information is accurate and up-to-date


• Setting up and maintaining the IT department shared drives and ensuring correct filing of all documents


• Ensuring copies of all contracts are lodged with Trust Procurement team


• Managing diary of IT Director and liaising with other services to resolve appointment issues


• Keeping track of papers that need to be submitted to various Trust Boards and Committees and ensuring these are recorded in IT Directors diary for action
