We are looking to recruit a Band 3 Urology Nurse Practitioner Support Secretary/Administrator within the Department on a Fixed Term contract for 12 months.

We are looking for an enthusiastic and conscientious team player with excellent communication skills and can successfully multitask

You will be able to work under pressure, have good written and verbal skills with excellent time-management and organisational skills. You will be able to prioritise your workload throughout the day.

You will be able to demonstrate a clear understanding of confidentiality issues and your behavior will be consistent with the Trust’s Values and Behavioral standards.

As part of a team you will be responsible for the accurately transcribe clinical letters from audio dictation, using Winscribe. Create correspondence as appropriate from predefined templates.

It would be desirable to have an understanding of medical terminology and cancer targets.

You will work closely with the Nurse practitioners to ensure the timely review of results and any subsequent actions that need to be taken.

You must be able to prioritise your own workload according to the changing day to day demands and deadlines and use your own initiative to respond to queries both within and outside of the Organisation with a professional manner to patients, relatives and staff.

Attend relevant meetings taking and typing the minutes as required

Deal with telephone calls inbound/outbound relating to patients specific care in a confidential and sensitive manner



The Urology Department is based at the City Campus although some services like Paediatrics are based at the QMC. The (Patient Pathway Administrator) Support is an integral part of the team providing support and cover to the team. We offer a wide range of both cancer and non-cancer care and pride ourselves on our efficient and quality service.

Accurately transcribe clinical letters from audio dictation, using Winscribe. Create correspondence as appropriate from predefined templates

Use judgement and initiative to prioritise the importance / urgency of particular requests within defined guidelines

Establish and maintain admin systems and database

Assist with the management and updating diaries of the staff groups supported, including arranging appointments and meetings if required, locating a suitable venue and informing attendees

Attend relevant meetings taking and typing the minutes as required

Arrange patient appointments where required ensuring all referrals are appropriately date stamped and actioned within the Trust’s Patient Access Management Policy

Monitor investigations and escalate where required

Deal with telephone calls inbound/outbound relating to patients specific care in a confidential and sensitive manner

Liaise with other medical / nursing and administrative staff within the hospitals and Community as appropriate, including making arrangements for admissions of patients.

Undertake faxing and photocopying as required

Type up new literature, using designated formats, which will include patient information and guidelines

Answer telephone enquiries from patients, other services and service providers in a courteous and professional manner, and respond to answerphone messages – returning calls in a timely and appropriate manner

Be aware of the need for confidentiality both within the written and spoken word and ensure correct storage of patients’ records at all times

Order stocks and supplies, and required patient information leaflets and literature, and assist in ensuring that the stock ordered has been supplied.

Maintain upkeep of printer, send meter readings and order required consumables.

Be aware of need for own personal development and be prepared to attend and undertake any necessary training, being aware of the need to develop oneself and to strive to increase personal knowledge.
