Summary


Manchester LCO corporate office are looking for an exceptional executive administrator with extensive secretarial/PA experience to join our team. You will provide high level professional administrative support within the Corporate Office. Working autonomously, you will provide a comprehensive secretarial/administrative service to the Executives and LCO team as required.


Responsibilities are varied and include managing diary commitments, organising and prioritising emails, scheduling various meetings, producing minutes and coordinating arrangements for meetings and events as well as preparing correspondence, reports and presentations. You will have excellent organisational and interpersonal skills and be fluent in the use of Microsoft Office. With the ability to communicate effectively at all levels and maintain effective internal and external contacts, you will have a flexible approach to the working day to meet tight and varying deadlines and be someone who works well as part of a team.

Applicants should have significant experience in a PA/Senior Administrative role, be highly motivated and flexible with a track record of delivering high quality administration and PA support.

Provide comprehensive secretarial service to the Manchester LCO executives.

Provide support to committees and working groups, including the transcription of minutes..

Plan and organise meetings and events.

Manage a bring forward system.

Manage filing systems appropriately that are clear and easy to access

Provide a comprehensive administrative and secretarial service, including the typing of letters/memos/reports/minutes/forms/job descriptions, photocopying, etc.

Identify, prioritise and monitor correspondence for the LCO office. Compile and reply promptly to correspondence received each day. Answer any queries where necessary, and draft responses/action as appropriate.

Production and circulation of the agenda/minutes of meetings.

Organise and co-ordinate travel/accommodation.

Open all mail received and stamp and log on a daily basis ensuring prompt attention is given to any urgent matters. On return of mail distribute/file/chase-up/draft responses and action as necessary. Deal with all outgoing mail.

Prioritise jobs urgently required and ensure that all deadlines are completed on time.

Maintain and improve filing procedures, ensuring that correspondence is quickly and correctly filed.

Communicate on a day to day basis with staff at a very senior level internally and externally.
