Summary


An exciting opportunity has arisen within the SACCT Division for a Medical Support Secretary to provide administrative support to a team of medical secretaries and their respective consultant and clinical teams.

We are looking for a motivated, enthusiastic individual who is able to follow instruction, work on their own initiative and as part of a team. The maintenance of patient confidentiality and excellent customer care skills are essential to this post.

Previous experience of working within an administrative setting along with experience of audio typing is essential.

To provide a general clerical support for the SACCT secretaries and consultants. To facilitate audio-transcription of clinic letters, results and discharge letters, and to provide a general clerical service and support throughout the department.

To work as part of the busy admin team within the General Surgery department. This includes but is not limited to retrieving case notes, validating the RTT pathways, retrieving referrals from ERS, audio-typing and supporting with administrative tasks.

The post holder will be required to work as part of a team providing cross cover during periods of staff absence.

1. To retrieve patient case notes from across the Hospital.
2. Ensuring Health Record folders are traced to the location held on the hospital’s electronic HISS system.
3. Update the Hospital Information System to reflect the correct patient details
4. Ensure that all duties allocated are completed in a timely and satisfactory manner.
5. Offer general support to the secretaries, including covering during periods of sickness/annual leave.
6. Liaise with, and work in harmony with, other areas of the Trust to promote patient experience.
7. To be an integral member of their assigned team.
8. Answering the phone, taking messages and acting upon the messages.
9. Comply with all duties stated in the job description
10. The post holder must comply with all relevant policies, procedures and training requirements
11. To undertake any other ad-hoc activities as directed.
