Summary


The newly created post of Information Governance Apprentice provides support to colleagues at all levels to facilitate best practice, compliance activity and innovate as part of the Trust’s ambition to use data efficiently and effectively by developing process and systems to support clinical transformation. Working across the Trust and beyond, the post holder will be supported to develop in role and contribute to wider developments at Trust and in collaboration with providers and other stakeholders in the care system.

The IG Apprentice will join a growing team to support the Head of Information Governance to deliver great IG performance across clinical care, research and education. The Team is based at the City Road site.

The Information Governance Apprentice role is a training post in which the postholder is supported in achieving the nationally recognised competencies (listed in the appendix) whilst delivering activities that will support the Trust’s Information Governance team in the delivery of the Trust’s Information Governance (IG) strategy and compliance work. Some formal training is provided on a day-release basis. The apprenticeship will end when the post holder has achieved the competencies at which point the apprentice becomes a permanent member of staff.

Duties are based on the co-ordination and processing of requests for accession to the Trust’s information asset register by supporting proposers by providing assistance with logging information and assessing risk (by identifying data flows and working with others).

Other duties include: support for processing requests against the Freedom of Information Act and Environmental Information Regulations; to deliver Data Security Awareness training sessions to the organisation where required; collection of evidence for the annual Data Security & Protection Toolkit

Deputise for the Information Governance Officer; supporting the team with administrative support as required.

• Act as a point of contact for information governance enquiries, some of which will be of a confidential nature, referring enquirers onward where appropriate.
• Assist the Trust’s Information Asset Owners and Information Asset Administrators in their role by providing access to training and systems. Supporting maintenance of data flow mapping
• Assist with the production and collation of evidence to support compliance with the Data Security & Protection Toolkit.
• Assist with monitoring and co-ordination of requests received to meet the requirements of the Freedom of Information Act 2000, create performance reports of activity and escalate to the Information Governance Manager where issues occur in line with the FOI process.
• Promote and raise staff awareness of information Governance by working with team members to plan, organise and deliver training programmes to staff at all levels of the organisation. This may include staff induction, mandatory training – including face to face and e-learning – andad hoctraining.
• Extract data and draft performance reports against key performance indicators for IG managers
• Assist the IG team in ensuring policies, procedures and learning materials are updated and maintained.
• Ordering and receiving stock for the IG department.
• Provide support for the Trust’s Information asset management platform and keep entries regularly updated.
• Maintain and log Information Governance and Caldicott enquiries and keep the team’s knowledge management database up to date.
• Day to day responsibilities will also include organising logistical arrangements for events, briefings, meetings, and workshops and ensuring IG team members receive effective and efficient support to assist in the delivery of their work.
• Provide administrative support to the IG managers
• The post holder must be able to work autonomously and with minimal supervision, commensurate with the grade, and report and be accountable to their line manager. To work independently, the post holder must be creative, proactive, use initiative, and prioritise their own workload with conflicting deadlines.
• Ability to work from City Road and travel to and from to satellite sites to undertake the above
