Summary


An exciting opportunity has arisen for a dynamic, enthusiastic and motivated administrator to join our busy legal services team. The Band 4 post will provide high level administrative support across all responsibilities of the legal services team. The post offers exposure to a range of work including Clinical Negligence, Personal Injury, Inquest, Patient losses and Redress, whilst supporting staff, patients and families. The post requires an individual who is able to work under pressure with complex and confidential information. We are looking for an individual who has excellent communication and interpersonal skills.

The role requires adherence to systems and processes, requiring high level daily use of multiple applications and databases, to include RL Datix Cymru, SharePoint, OneDrive, Excel. The role requires completion and submission of financial payment requests to Finance, and so attention to detail and figures vital for accuracy

This role will involve working at pace, to high volume, on own initiative, keeping to essential deadlines, and prioritisation of work

Administratively support the claim’s process, from notification of a claim through to the closure of the claim.

Assist in maintaining excellent working relationships with external agencies i.e. solicitors to Health Board, solicitors to claimant, Coroner’s Office, to ensure that high level professional services are provided by the Health Board.

Set up, maintain, co-ordinate and update claim’s database (Datix), ensuring systems are in place to maintain confidentiality. To be responsible for ensuring the litigation and redress data fields are completed accurately and in a timely manner.

To use initiative, knowledge and skills to support production of reports from Datix on all aspects of litigation, inquests and redress as requested by the Legal Service Managers.

To process document sign off by obtaining required signatures of Chief Executive, Chairman, Associate Director Putting Things Right, for cheque requisition/BACS transactions, Briefing Reports for settlement/admissions of liability

Responsible for cheque/BACS requisitions in payment of defendant and claimant’s costs and other invoices and keeping up to date financial records in accordance with Health Board policies. Advising the Health Board’s solicitors of date of BACS transfers.

Prepare confidential papers, to include taking and drafting of minutes of meetings as requested by the Legal Service Managers.

To liaise with Complaints Co-ordinators in the Divisions to ensure disclosure of complaint documentation. Review of documents on receipt to check, and follow through where required, apparent or missing papers such as clinician comments, notes of meetings etc.

To liaise with staff at various levels, including very senior managers, in the investigation, management and progression of the administration of cases progressing under the Health Boards Losses and Special Payments procedures.
