Summary


Applications are invited for the post of Data Quality Coordinator, at Mersey and West Lancashire Teaching Hospitals NHS Trust

We require a highly motivated, team player with excellent communication skills in order to negotiate with, and motivate all members of the team to ensure data needs are met. The post holder will be required to work on his/her own initiative and plan own workload and workload of the Data Quality Team accordingly.

The team will be working a hybrid model with some time working from home and some time spent at Knowsley Community College. However, they will also work in close collaboration with all clinical and support service teams which could require time spent on either Whiston or St Helens Hospital site

Applications are invited for the post of Data Quality Co-ordinator within the Data Quality Team at Mersey and West Lancashire Teaching Hospitals NHS Trust.

The role will promote and support the application of data quality and information governance standards, regularly monitoring and striving to improve performance for the Trust. To support audit and other quality improvement activities for the Trust specifically working on community focused data supporting the implementation of the Trust’s new community system. Provide support and advice to all disciplines.

Main duties of the job
• Promoting data quality and its importance.
• Respond to queries on information surrounding coding data correctly, methods of extraction and what data is held within applicable systems.
• Support the Trust with on-going data quality issues – attend relevant meetings, provide training and guidance on recording information correctly within relevant systems, specifically the new community system.
• Keep up to date with national data quality updates and issues via the necessary websites and inform relevant parties.
• Extracting and analysing data from systems; undertaking validation of data, audits, summarising and reporting findings, giving feedback in various formats – reports/presentations.

The Secretary of State has approved the partnership between St Helens & Knowsley and Southport & Ormskirk Hospitals.

KEY DUTIES
• Support the Clinical Information and Data Quality Manager in the production and auditing of patient pathways that ensure achievement of the waiting time targets.
• To identify errors, through various sources.
• Collection and interpretation of patient information from notes and relevant systems in order to complete data.
Work with the Clinical Information and Data Quality Manager to develop data validation reports regarding activity within the Trust according to National Guidance Rules, e.g., RTT
• To monitor and report activity within the Trust and Regional
• To use various software programmes to produce reports, statistical data, create and maintain spreadsheets to a high standard.
Work with the quality/governance department to ensure compliance to Trust standards
• Undertake audit work as required, locally and nationally.
To ensure accurate entry of data to the Medway system allowing data transfer on agreed deadlines and in accordance with National data submissions. For example, CDS, PbR
• Take action to obtain or correct missing or contradictory data while maintaining confidentiality.
To provide monthly updates and progress reports to the relevant teams
Liaison with all levels of staff within the organisation to understand any discrepancies and establish correct data collection. For example, key data quality stakeholders, including Informatics, CMCSU, A&E and all clinical/clerical staff to ensure the timely resolution of data quality problems
• Support the Clinical Information and Data Quality Manager in the validation and quality assurance of all submitted patient information. Support the Clinical Information and Data Quality Manager in the quarterly audit of 18-week performance, the resultant findings report and implementation/correction of any findings.
• Ensure the verification of unverified NHS numbers against the Spine in accordance with best practice guidance
• To attend the Internal Data Quality Group meetings as and when required to present data quality reports and answer questions from the group
• Promote best practice in the use and production of data throughout the Trust.
• Assist in system testing activities and advise on data quality requirements as appropriate to support national mandates. Follow up actions to ensure compliance.
• Analyse and compare the outcome of audits and determine the appropriate action/s to be taken.
• Responsible for ensuring that new developments are proactively trained to all Data Quality clerks by linking the theoretical knowledge obtained and applying it to relevant practical experience in order to ensure that standards are achieved.

CLINICAL & PROFESSIONAL RESPONSIBILITIES
• Responsible for ensuring that all data/information is stored and transmitted in a format, which adheres to all aspects of the Caldicott guidelines.
• Due to the nature of information, ensure that the system, recording processes fulfil both Information Governance and Data Protection requirements/rules.

ADMINISTRATIVE RESPONSIBILITIES
• Support the Clinical Information and Data Quality Manager in the design and implementation of standard operating procedures for the Data Quality Clerks to follow to ensure national standards are achieved.
• Regularly review procedures to ensure working processes are fit for purpose.

TEACHING & TRAINING RESPONSIBILITIES
• Provide specialist training to the Data Quality Clerks within Data Quality on aspects around RTT performance and the awareness of the RTT targets.
• Responsible for ensuring that new developments are proactively trained to all Data Quality clerks by linking the theoretical knowledge obtained and applying it to relevant practical experience in order to ensure that standards are achieved.

LINE MANAGEMENT/SUPERVISORY RESPONSIBILITIES
• Line Management of the Data Quality Clerks including responsibilities for training and development, induction, appraisal and personal development planning, allocation and monitoring of work within the required deadlines,
• Ensure that mandatory training is undertaken in accordance with Trust policy by the post holder and by all staff reporting to the post holder.
• Delegate work to other members of the team as and when required.

RESEARCH & AUDIT
• Support the Clinical Information and Data Quality Manager and the Data Quality Officer in the production and auditing of patient pathways that ensure achievement of the standards
• Support the Clinical Information and Data Quality Manager and Data Quality Officer in the validation and quality assurance of all submitted information.
• Support the Data Quality Officer in the quarterly audit of performance, the resultant findings report and implementation/correction of any findings.
