Summary


An exciting opportunity has arisen to join our Endoscopy and Gastroenterology team. This is a great time to join our administrative team, you will work in our newly refurbished area with new management and the support of a successful business case which has increased staffing across our areas.

The Endoscopy unit is a busy JAG accredited Unit and you will support patients attending to our evolving services. Gastroenterology is an extremely busy Department with a considerable workload.

We are looking for an enthusiastic and hardworking individual who can work as part of a Team but who is also able to use their own initiative. They should have good communication skills as well as excellent spelling and grammar, along with the confidence to approach all levels of admin, clerical and clinical staff.

Blackpool Teaching Hospitals NHS Foundation Trust is situated on the west coast of Lancashire, and offers a full range of district hospital services and community health services to a population of 1.6 million in Lancashire and South Cumbria.
The Trust provides services to the 440,000 residents of Blackpool, Fylde & Wyre and North Lancashire, as well as specialist tertiary care for Cardiac and Haematology services across the wider region.
We employ more than 6,500 staff and have approximately 900 beds.
• Reviewing referral letters and uploading them to EPR along with proforma’s.
• Typing letters from virtual clinics, outpatient clinics and general correspondence.
• Close liaison with Medical outpatients Sister regarding outpatient clinics. Cancelling/reducing clinics for annual leave, study leave etc. and informing all relevant personnel.
• Covering sick leave and annual leave within the team.
• Working with the secretarial team to support the service as required, whilst managing own workload.
• Attending meetings, assisting in implementing the Clinical Assessment Service and supporting and providing senior management with information to enable this.
• Dealing with telephone calls, internal and external from wards, patients and General Practitioners.
• Maintenance of discharge and follow up appointments where applicable in conjunction with the Operational Managers.
• Being aware of capacity issues and the 18-week RTT pathways and flagging problems to the appropriate teams where necessary.
• Supporting the e-Referral (ERS) initiative and Electronic Patient Record (EPR) system.
• Working closely with and being the main point of contact for the Gastroenterology team.
• To have an awareness and understanding of the capacity and demand management challenges within outpatients and to use all available programmes to utilise capacity to its maximum potential.
• To be aware of current outpatient waiting times on a speciality basis and to highlight with the Operational Manager any capacity issues as they arise.
• To liaise with all service users to ensure that clinic management rules are maintained, for example overbooking rules, adding additional slots and any other ad-hoc outpatient booking requests.
• To continually monitor data quality and highlight any training needs with the Operational Manager.
• To be responsible for the collection of statistical data and to undertake any project-based tasks that are required.
• Present monthly audit of patient data
• To be responsible for dealing with service user enquiries, concerns and complaints in a professional and effective manner. To seek advice when required and to feedback in an appropriate and timely manner to all parties concerned.
• Maintenance of Clinical Assessment Service dashboard and clinical spreadsheet.
• Creating and producing comprehensible data reports.
• Keeping a check on investigations requested from Clinical Assessment, flagging up abnormal results and dealing with as necessary. Filling results.
• Work within all Trust Policies and Procedures.
• To follow Health and Safety Policy relevant to the working environment and attend mandatory updates in accordance with the Trust policy.
• Undertake personal training and development where appropriate.
• Ability to be adaptable and work at various sites within the Trust subject to service needs.
• Manage and track Choose and book referrals, tests and outcomes
• Manage all CAS referrals, tests, tracking and outcomes
• Maintain trackers and ensure failsafe’s are kept up to date
• Any other duties which are delegated appropriate to the post.
