JOB DESCRIPTION

JOB TITLE: Administration and Facilities Officer

LOCATION: Groundwork Wales Offices, Pontllanfraith (or any other location within the Caerphilly County Borough as appropriate)

CONTRACT PERIOD: Permanent

RESPONSIBLE TO: Head of Programmes and Operations

NUMBER OF HOURS: 37 hours per week – flexible to meet the needs of the business, early and evening shifts will be a requirement

SALARY: Meets Real Living Wage - £20,971.60

JOB OBJECTIVES
To ensure the effective operation of the Ty Mynyddislwyn Environment Centre, ensuring a high level of facilities management, housekeeping, hygiene and preparation for all users.
Reception duties, administration support and facilities duties as appropriate.
The post will require flexibility to cover room bookings outside of office hours on a regular basis.
MAIN AREAS OF RESPONSIBILITY
1. To carry out Administration and Reception duties
2. To support the opening and closing of the centre, as per booking requirements
3. To be responsible for the setting up of facilities and resources as per booking requirements, including some lifting and moving of furniture, cleaning, configuring and preparing rooms
4. To conduct facilities tasks and associated administration, as required, e.g meter readings, testing of fire alarm, lighting checks, booking sub- contractors etc
5. To conduct regular condition surveys of the centre to ensure upkeep i.e. report any maintenance or health and safety issues
6. To carry out cleaning duties within rooms and facilities including replenishment of beverages and washing crockery etc
7. To control, purchase and replenish stationary, consumables and materials and equipment needed within the business.
8. To perform general office duties i.e. photocopying, scanning, filing, internal and external post
9. To use Office computing packages eg: Microsoft Office suite,
10. To support the Green Dragon Environmental Standard programme manager in all aspects of administration, marketing and customer service
11. To undertake Website and social media updates (training will be provided)
12. To undertake any other duties, which may reasonably be regarded as within the scope of responsibility of the post as defined by the Line Manager or Senior Management team.
