Summary


An exciting opportunity has arisen for a Family History Co-ordinator for the Breast Family History Service working with a delegated number of consultants and nurses at the Breast Institute of Nottingham University Hospitals Trust, based at the City Hospital Campus.

We are looking for an enthusiastic and competent candidate to provide high quality, comprehensive administrative support to the Consultants, Breast Care Nurses and wider management team. This will include working alongside Lincoln and KMH to coordinate the very high risk programme.

The candidate will also be responsible for maintaining multiple databases and monitoring the patient's pathways. They will need to proactively plan ahead to ensure that patients receive treatment within target and work closely with the management and clinical teams to resolve capacity issues.

The successful candidate will be able to work well under pressure, have excellent written and verbal communication skills, as well as excellent time management and organisational skills.



You will have access to sensitive and confidential information and will therefore need to be able to maintain sensitivity and empathy while behaving in a professional manner.In undertaking this role, the employee will be expected to behave at all times in a manner that is consistent with and actively supports the Trust values.



You will also have daily contact with staff at various levels and must be able to communicate at an appropriate level, conveying information clearly and accurately.



You will be a competent IT user and will have experience in the use of Microsoft Office packages as well as experience of hospital systems such as Medway, CRIS and NBSS.

Your main duties will include:

Word processing clinical letters from audio dictation, using Winscribe.

Creating correspondence as appropriate from predefined templates.

Using judgement and initiative to prioritise the importance/urgency of particular requests within defined guidelines.

Reducing and cancelling clinics.

Making and receiving telephone calls to and from patients and GPs dealing with sensitive issues in a confidential manner and with empathy.

Making and changing appointments using the Medway, NBSS and CRIS systems.

Booking specialised investigations ie: mammatomes and markers, recording these in the diary and informing the appropriate people where necessary.

Monitoring unreported radiology reports on CRIS.

Giving advice and information pertaining to the National Breast Screening Programme to medical staff and members of the general public.

Co-ordinating and run the gene positive tea party.

Managing the Genie Girls Facebook page.

Providing some cross-cover for the Very High-Risk Coordinator.

Attending meetings and take minutes.

Capturing data on all patients and assist in the development of systems.

Responsible for adding patients to the partial booking waiting list.

Responsible for dealing with consultant, nurse and visitor queries.

Distributing and opening in-coming mail and deal with appropriately.

Supporting and mentoring new staff.

Undertaking any other duties, which may reasonably be required.
