Summary
ABOUT THIS ROLE
Lightroom is looking for a dynamic and highly organised PA/Production Assistant to support the rapidly growing team at an exciting time for the company. The ideal candidate is someone who is keen to learn and proactive.
This role will include working closely with the Assistant Producer to support the wider producing team and senior team as we continue to create spectacular artist led shows and cultural venues. You’ll also be responsible for the diary management of the senior team.
DUTIES AND RESPONSIBILITIES
● Diary management for the CEO and senior management
● Coordinate and organise meetings for the Production and executive teams
● To research and book travel and accommodation
● Booking couriers and taxis as required
● Minuting of production meetings and other key project meetings
● Point of contact for other teams at Lightroom, ensuring flow of information across the organisation
● To respond to creative enquiries in the contacts@ inbox
● General research for the CEO and Production team
● Assisting with the creation of call sheets, schedules and itineraries as required
● Supporting with creating and maintaining presentation materials to support needs of senior management
● Compiling expense claims for CEO
● Assisting on site during technical and production of shows as necessary in the role of runner
● Assisting with organisation and guest lists for opening nights of new shows
● Supporting with with events, sponsorship activities and hires
● Helping organise tours and visits for business-to-business needs
● To set up and maintain show production files and documentation in consultation with the Assistant Producer
● General administrative duties as required
Skills & Experience
● Excellent organisational skills with the ability to work under pressure and to tight deadlines
● Excellent attention to detail and high level of accuracy
● Proven administration experience
● Experience of the Microsoft Office suite, G-suite or equivalent
● Experience with indesign, keynote and slack desirable but not essential
● A good team player but able to work independently
● Manage yourself and time effectively through planning, organising and anticipating problems ahead
● Punctual and reliable
● Good written and verbal communication and interpersonal skills with an ability to deal appropriately with a wide variety of people in a confident and friendly manner
● Keen to learn and interested in gaining a wide range of experience in show making and production
● Interest in the arts, culture and entertainment industries
