What is the role about?

The Shift Manager is critical to the successful coordination and delivery of Reed in Partnership’s Test Centre Network. Part of the Scheduling Team & reporting to the Head of Scheduling, they will own the Shift Management Administration aligned to our Scheduling Management on behalf of Reed, creating test centre shift profiles to ensure sufficient staffing shift slot availability for staff to choose from to meet our scheduling commitments.

The Shift Manager will strictly adhere to the guidelines in accordance with the programme’s requirements and Reed in Partnership’s policies and procedures.

The Shift Manager will complete any duties and requirements of the wider Scheduling Team to ensure all Shift and Scheduling arrangements are complied with.

Just some of your day-to-day responsibilities will include

Co-ordination of Test Centre Network & Volumes

  • Continuously analyse MI, proactively reviewing data to identify trends across the year.
  • Use the results of the analysis to manage, adjust shifts to meet opening hours of individual test centres to respond to local demand and meet contract specific KPIs.
  • Create and amend shifts within the Test Centre Network reflecting capacity changes and assets.
  • As part of the role, the Shift Manager may support the Scheduling Manager/Head of Scheduling and work closely on various team responsibilities.
  • As part of the role, the Shift Manager may support the Non-Standard Accommodations helpdesk & will liaise with the contract commissioner over scheduling queries.
  • Provide regular reports to senior management around shift management (including performance reporting at a Test Centre level). Working closely to support the Head of Scheduling who will hold the ultimate responsibility on decisions regarding vis-à-vis scheduling and shifts.
  • Work with Reed’s Continuous Improvement Team, other internal departments and RTS to continually improve shift management efficiency, quality & performance.
  • Keep detailed and appropriate records of all changes, actions and decisions.

Stakeholder Engagement

  • Work with Reed’s Continuous Improvement Team, other internal departments and RTS to continually improve shift management efficiency, quality & performance.
  • Work closely with the operational management team to ensure the operational delivery of the Test Centre Network is running smoothly
  • Respond to any queries in a timely manner – ensuring all communication is tracked
  • Work closely with contract commissioner to resolve any issues or queries as required.

To be successful in this role, we are looking for someone with

Essential Attainments:

  • Hold a degree/relevant qualification & a minimum of 2 A-levels or equivalent Level 3 Diploma.
  • Significant experience of performing scheduling in a fast-moving, dynamic environment in a similar/relevant industry such as logistics/resource planning.
  • Demonstrable experience of working in the testing industry & good knowledge of the sector.
  • In depth understanding of the UK’s geography.
  • Experience of working in a call centre (or similar customer service-focused) environment.
  • Experience of developing & maintaining strong, co-operative stakeholder relationships to facilitate effective delivery.
  • Evidence of effectively leading a team, motivating, coaching & supporting them with their development.
  • Experience of developing internal relationships with other key team managers to ensure cross-functional team interactions & the promotion of collaborative working.
  • Experience/knowledge of supporting people with additional requirements & understanding their needs.
