EMPLOYER
LIPA (The Liverpool Institute for Performing Arts)

JOB SUMMARY
The placement holder will be part of a small team of staff who support our widening participation and fair access activities, which provide opportunities that aim to raise awareness of, and aspirations to, Higher Education and encourage applications to LIPA amongst groups of students currently underrepresented at Higher Education level.

This placement role will primarily focus upon supporting the delivery of a range of events with local schools and colleges. You will be guided through the processes involved with event planning and coordination. Within the placement period, under the guidance of the WP Coordinator, you will oversee a portfolio of small events as well as one larger one providing you with experience of planning an event from start to finish.

You will be responsible for coordinating our attendance at a series of careers fairs within Merseyside schools (with the opportunity to attend some careers fairs yourself too). This includes liaising with schools to confirm attendance when a request/invite comes through, arranging staffing and travel to and from the event, as well as preparing the relevant materials to go to the school with the staff.

You will also be tasked in assisting with the planning, organising and delivery of a suite of on-campus events. This will include communicating with school contacts (e.g., teachers or careers advisers), booking rooms, liaising with staff, and preparing materials for the schools and their pupils who attend. Our aim is to help you to develop your skills throughout the first half of the placement so that you can take on further responsibilities associated with the delivery of our Year 9 taster events which happen in the summer. You’ll also learn about how to evaluate if your event has been successful.

You will also be given the opportunity to gain experience in social media marketing, by creating and delivering a social media campaign for the LIPA WP team’s Instagram, Facebook and Twitter accounts. This will involve the use of Canva and other similar tools to design and create visually aesthetic social media posts, as well as being responsible for posting regular updates to the social media pages for live and upcoming activities.

In addition, you will be involved in completing other administrative tasks, such as mailshots to schools and colleges regarding our LIPA WP activities, as well as processing our project registration forms (for our LIPA WP Year 10/11 programme) by inputting this information into our internal database.

SKILLS NEEDED
Applicants must be 18+ at start of placement. Offer subject to DBS check (cost covered). Applicants should be able to demonstrate: strong communication skills (verbal and written); a good team ethic; ability to organise and manage competing deadlines; ability to take guidance and instruction; a willingness to learn. A practical knowledge of Microsoft Office packages would also be useful.

WORKING HOURS
Likely Monday to Friday 5 hours per day, but greater flexibility available by arrangement

HOURLY RATE

ADDITIONAL EMPLOYABILITY SUPPORT
All tasks you undertake in this job role will provide you with useful and necessary skills and experience for future jobs.

The role is structured to give supported learning to anyone looking at future roles in organising events. You will be given the opportunity to gain experience in planning and organising an event, gaining essential transferable skills that can be used in other event planning jobs. You will also secure a greater understanding of Higher Education and Widening Participation within a Higher Education setting, as well as LIPA’s course provision.

You will be supervised by the WP Coordinator, who will also act as mentor, offering support for the duration of your placement. They will help you to set realistic weekly goals and objectives.

Placement holders will be given access to LinkedIn learning resources, allowing you to take part in a range of online courses/modules of your choosing. For this role, you will be asked to complete courses relating to social media and marketing, to assist you with your placement role. Furthermore there will also be opportunities for the post holder to participate in wider training opportunities on offer to the widening participation team and other staff at LIPA. We will provide support with CV writing and advice on how to complete job applications and cover letters. We can offer advice on how to prepare for job interviews, where to look for job opportunities and any local bodies that offer networking opportunities. It is anticipated that five hours per week of your working hours throughout the placement will be allocated to allow you to complete online training modules and take part in other professional development opportunities. You may be able to complete some of these from off-site.
