JOB SUMMARY
Facilities coordinator

The Facilities Coordinator will support with our booking process from marketing the spaces, dealing with enquiries on the phone, face to face and via email and managing bookings and ordering supplies and equipment. This role will ensure effective and efficient support of the venues and that all systems, facilities and procedures are in place.

SKILLS NEEDED
• Using a variety of software packages, such as Microsoft Word, Outlook, Excel, etc., to produce correspondence and documents and maintain records, spreadsheets and databases.
• Monitor emails and the phones, providing a positive experience for both colleagues, customers, and clients alike.
• Supporting with the process of booking of rooms and facilities.
• Coordinate the booking and use of meeting rooms, ensuring the rooms are set up with any food, beverages or equipment.
• Ordering and maintaining materials and equipment.
• Organising and storing paperwork, documents and computer-based information.
• Photocopying and printing various documents, sometimes on behalf of other colleagues.
• Support with the general administrative function of the team.

WORKING HOURS
Can be worked over 5, 4 or 3 days. Hours to be agreed.

ADDITIONAL EMPLOYABILITY SUPPORT
We will deliver a package of support including online and in house training, activities and events throughout the 6-month placement.
