JOB SUMMARY
This role will be responsible for supporting the SWAZ Directors in overseeing internal office processes, including managing customer orders from the point they come in, through tom product production and distribution. The role will also be responsible for filing, keeping our databases and customer information up to date and organising our digital files and information. The successful person in this role will also be responsible for managing the office, answering calls and completing daily admin related tasks.

Main Responsibilities:

Support the sales team, from liaising with customers and managing the order process through to the distributing products to clients
Support with customer relations, speaking to clients and linking them up with the appropriate information or internal staff depending on their needs
Support with general day to day admin
Support the Managing Director to fulfil his day-to-day tasks, including helping with the documentation for approaching sale opportunities
Be responsible for filing online documents, imagery and information, keeping our in-house databases tidy and manageable

Key Duties:

Manage the office, keeping files and documents both online and offline in order
Responsible for helping with invoicing, product distribution and the order process
Be the first point of call for clients and customers both online, in person and on the phone.

SKILLS NEEDED
Skills / Competencies Required

Good execution skills – driven and capable of putting head down and following through to get things done
Competent time management – able to juggle numerous tasks and can work to deadlines calmly and professionally
Be organised and precise, taking care with the task expected of them
Good communication skills, confidence when talking to customers and internal staff
Have a good eye for detail and be professional with all tasks completed
Proficiency in MS Word, Excel, PowerPoint and Adobe Photoshop

Experienced Required

Basic experience in admin related work
Basic experience using excel, word and other Microsoft office software
A positive attitude and willingness to learn
Team player and an excellent communicator
A proactive, positive and nimble approach

WORKING HOURS
9am to 5.30pm

HOURLY RATE
National Minimum Wage

ADDITIONAL EMPLOYABILITY SUPPORT
The person undertaking this role will be thoroughly trained and supported in all aspects of the role, with thorough training of how we operate our systems and the different processes we undertake. Furthermore, throughout the entire time in the role, the Admin Executive will be overseen in all aspects of the work they do, with advice, guidance and support offered consistently. The successful candidate will be encouraged to learn new skills and bring up different things they want to work on and improve, and the SWAZ team will accommodate where possible.
