JOB SUMMARY
The Internal Sales Administrator will support the After Market team with administrative requirements and the day-to-day activities associated with the department. General responsibilities will include liaising with the internal departments verifying orders including customer information and shipping details, when required contact customers, respond to queries, and obtain required information. They will assist in the preparation of professional and technically accurate proposals to ensure that submission deadlines are met as well as generate reports and maintain computer-based data retrieval systems for the provision of customer related information. Supporting the Sales department with administrative tasks, utilising the company CRM system and reviewing the company’s general ‘Sales’ and ‘Support’ email inboxes.

Specific job responsibilities include, providing accurate and timely support in the creation of proposals that maximize the commercial return in accordance with defined budgets and/or targets. When required proactively assist in maintaining good customer relations, quotations, proposals and secure purchase orders. When required they should respond to customer enquiries and answering telephone calls when in the office. The Internal Sales Administrator will also maintain customer records and keep track of customer information and providing post-sale customer service.

The Internal Sales Administrator should develop many employable skills over the duration of time. From the general and specific job responsibilities, they will develop strong and professional communication skills both verbal and written from the day-to-day experience they will get and the environment they will be working in. Organisational skills will also be developed due to experience working to deadlines and timeframes. Their knowledge will grow within systems and how they work as well as gaining valuable experience working with them. Administrative duties should come confidentially after this role and day to day administrative tasks should be able to be completed independently. Furthermore, the candidate will maintain their communication skills and develop them through interacting with customers, adding experience in customer service to their future CV. The ability to speak confidently on the telephone will also be a skill developed.

The Candidate will be required to attend the workplace most of the time to fulfil duties. This location is Aeronautical and General Instruments Limited, Fleets Point, Willis Way, Poole, Dorset, BH15 3SS. Any homeworking will be from the candidate’s home. All necessary equipment will be provided where needed. Homeworking will include the completion of online courses such as the completion of iHasco courses which include Anti-Bribery, Bullying and Harassment for Employees, Customer Service and many more online courses. It will also include training from Amy and Lauren who work within the team on how to complete tasks successfully, any training required to undergo set tasks to understand processes and procedures, any questions or requirements the candidate has and reviewing any learning they have done to ensure they fully understand.

SKILLS NEEDED
The Internal Sales Administrator should have knowledge of Word, Outlook and PowerPoint. Previous experience in customer orientated environment. They should have good verbal and written communication skills with an ability to communicate at all levels both internally and externally. An organised and good attention to detail candidate is required who is proactive and self-motivated as well as, presentable, professional and flexible to embrace change to support the development of the role.

ADDITIONAL EMPLOYABILITY SUPPORT
The Internal Sales Administrator will be supported by their manager and team as well as having a HR mentor. Managers and the team will provided on the job learning and training towards their responsibilities, and teach the candidate how to complete each task set successfully so they can do it independently in the future. Day-to-day support will also be given by the manager and team so the candidate feels comfortable to ask questions and to work within the team. This would be important for the candidate to feel comfortable to ask questions so their learning and time working is most efficient and they get the most out of their role.

The candidate will also have a HR Mentor to support them also. Here the candidate and the mentor will review their progress, set goals and discuss what is next in terms of learning, training and their CV. The mentor will organise any training courses the candidate wants to go on and feels would be good for the candidate to go on. Reviews and meetings will occur every other week with the mentor to keep up to date with progress. The candidates progress will be monitored by their mentor and feedback will be given to their manager as to what the candidate needs to and would like to work on more. This way we can ensure the candidate is fully supported in their role and is getting the most out of the Kickstart scheme. The mentor will also look to arrange any relevant work experience for the candidate if they’d like to, we would encourage this as it would be another factor to build the candidates CV.
