Summary

Better Healthcare services is looking for a Personal Assistant to support our Senior Leadership team (SLT).

As a Personal Assistant to the SLT, you will be at the heart of the business and you will prove invaluable in helping support the team with the day-to-day running of the business with administrative work.

This is a varied role with lots of responsibity and diversity of work. You will be a brilliant multi-tasker, be able to utilise your project management skills, support with organising diaries, keeping notes, scheduling conferences, assisting with travel trips and be a first line of response to enquiries.

You will have a strong background in administration, strong IT skills and excellent interpersonal and communication skills. You will have a courteous manner, have an eye for detail and be driven to help the team maintain a high standard of service.

This is an exceptionally responsible role, in supporting the senior team to deliver against the business strategy by supporting the facilitation of success.

You will be remunerated with a salary offering between £25-30k per annum, 23 days annual leave and an extra day for your birthday!

We are pretty flexible on working location, there will be regular travel to our London and Brighton office, with occasional travel to our other offices on an ad hoc basis.

WORKING PATTERN:

Monday to Friday (8.30am-5pm)

ROLE SUMMARY:

To support the Senior Leadership Team (SLT) to be effective in delivering the business strategy by supporting with administrative work, organisation and diary management.

The Senior Leadership team is made of 6 individuals: Managing Director, Head of People, Culture & Learning, Head of Quality & Governance, Head of Business Development, Head of Operations and Head of Finance.

MAIN RESPONSIBILITIES:

- Acting as a first point of contact to the business, dealing with enquiries, queries and requests

- Managing diaries and organising meetings and appointments

- Booking and arranging travel, transport and accommodation

- Organising events and conferences

- Holding the annual calendar of events and activities and supporting the team with preparation and reminders

- Preparing meeting agendas and scheduling meetings in line with the governance structure

- Typing, compiling and preparing reports, presentations and correspondence

- Managing databases and filing systems

- Implementing and maintaining administrative systems

- Liaising with staff, departments, suppliers, stakeholders and clients

- Supporting with managing expenses

- Inbox management

- Office management

- Ordering supplies

- Holding and maintaining registers and logs

- Work in collaboration with the group Executive Assistant in organizing diaries and events

- To support the SLT with any administrative activities

- Supporting with HR administration

- Do any other reasonable things your managers asks you to do

Critical to the success of the role is the ability to work at pace, maintain accurate records, have a readiness to learn about sector.

Person Specification (skills, knowledge and experience)

- Well organised, responsive and able to work under pressure

- Computer literate in Microsoft - Word, Excel and PowerPoint

- Ability to prioritise a busy workload

- Ability to work on own initiative

- Excellent communication skills, both written and verbal

- Very good interpersonal skills

- Ability to work independently and as part of a team

- Ability to manage difficult situations calmly and effectively

- Experience of supporting senior members of staff
