As a Project Administrator in our Facilities Management team, you’ll support the smooth delivery of projects that help maintain and improve vital hospital environments. Your work will directly contribute to ensuring facilities operate efficiently, supporting both patient care and the people who deliver it.
In this role, you’ll play a key part in supporting the Project Management Officer to keep projects organised, compliant, and on track. From coordinating documentation to supporting financial processes and stakeholder communication, your contribution will help create a positive impact on healthcare services and the community we serve.
What you’ll do as a Project Administrator
You’ll be entrusted to:
- Maintain accurate records of projects using tracking systems and documentation processes
- Coordinate and organise digital and physical project files, ensuring version control and accuracy
- Support financial processes, including raising purchase orders and assisting with invoice reconciliation
- Prepare reports, meeting agendas, and minutes, tracking actions through to completion
- Act as a point of contact for administrative queries and coordinate communication between stakeholders
- Support governance, audits, and continuous improvement activities within the Project Management Office (PMO)

- Strong organisational and administrative skills with excellent attention to detail
- Experience supporting projects or a PMO environment, ideally within facilities management, healthcare, or construction
- Good financial awareness, including experience with purchase orders and invoicing processes
- Confidence using Microsoft Office tools such as Excel, Word, and PowerPoint
- The ability to build positive relationships and communicate effectively with colleagues, contractors, and stakeholders
Vetting and checks:A Standard DBS check will be carried out for this position. This includes spent and unspent convictions, cautions, reprimands, and warnings as permitted under the Rehabilitation of Offenders Act. An Occupational Health Questionnaire will also be completed so we can ensure you have the necessary support to perform your duties.
