Summary
The Outpatient Appointment Centre (OAC) Bookings Coordinator (Band 4) plays a vital role in delivering a high-quality, patient-focused outpatient booking and waiting list management service within the Elective Access function. The post holder is responsible for the end-to-end coordination of outpatient referrals and appointments, ensuring all activity is managed in line with national RTT requirements, Trust policies, and access standards.
The role requires specialist knowledge of outpatient pathways, booking rules, and elective access processes, with responsibility for validating waiting lists, managing e-Referral Service (e-RS) worklists, and proactively identifying and resolving pathway issues to support performance targets.
Working as part of a Pod-based model, the coordinator manages shared inboxes, triaged referrals, supports capacity utilisation, and works closely with clinical and administrative teams to ensure timely and accurate appointment booking. The post holder also acts as a key point of contact for patients, GP's, and internal stakeholders, providing professional communication and resolving complex queries to enhance patient experience.
This role is essential in maintaining data quality, reducing waiting times, preventing RTT breaches, and supporting delivery of the Trust’s elective recovery objectives through efficient, compliant, and patient-centred booking processes.
Deliver a high-quality outpatient booking and waiting list management service, ensuring referrals and appointments are managed in line with RTT guidance, Trust policies and national standards.
Manage and validate outpatient waiting lists, correcting pathway data and proactively identifying patients at risk of breaches.
Book, reschedule and manage appointments using PAS and e-RS within required timescales.
Undertake e-RS worklist management and polling to ensure timely and compliant processing of referrals.
Manage the Pod inbox, including triaging, prioritising and distributing work to maintain efficient workflow.
Work collaboratively with clinical and administrative teams to resolve booking issues, manage capacity and support elective access targets. Maintain high standards of data quality by ensuring patient records and waiting list information are accurate and up to date.
Act as a key point of contact for patients, GPs and stakeholders, resolving queries professionally to enhance patient experience.
Monitor and escalate potential RTT breaches and contribute to service improvement, promoting consistency, efficiency and best practice.
