WORKING PATTERN: Our work style is hybrid, which involves spending at least two days per week, or 40% of our time, at one of our office sites.

About this Opportunity

The Workplace Optimisation Manager supports the delivery of an efficient, data‑driven and experience‑focused workplace. The role gathers and analyses workplace data, produces insights, and helps deliver optimisation initiatives across the workplace portfolio. It works closely with business units and operational partners to improve utilisation, support hybrid working, and enhance the overall colleague experience. The role also assists with pilot programmes, maintains accurate workplace records, and contributes to continuous improvement and governance of workplace standards.

The Workplace Optimisation Manager supports the continuous improvement of the workplace through data analysis, insight generation, and the delivery of optimisation initiatives. You will ensure workplaces are efficient, engaging, and aligned to hybrid working behaviours and business needs.

The role contributes directly to evidence‑based decision‑making and the delivery of a high‑quality colleague experience across the workplace portfolio.

What you'll be doing

Workplace Data & Insight

  • Collect, validate, and analyse utilisation, occupancy, booking, and behavioural data.

  • Produce dashboards/reports showing trends, risks, and opportunities.

  • Support the Workplace Optimisation Manager with data‑driven recommendations.

Space & Experience Optimisation

  • Assist with neighbourhood reviews, audits, furniture changes, and space resets.

  • Document changes to build optimisation playbooks and lessons learned.

  • Monitor workplace performance metrics (occupancy, intent vs reality, satisfaction, bookings).

Testing & Continuous Improvement

  • Coordinate pilots/tests of new workplace settings, products, or technologies.

  • Gather feedback and data; summarise insights into clear recommendations.

Business Unit Engagement

  • Partner with stakeholders to understand workstyles and upcoming workplace needs.

  • Support relocations, reconfigurations, and change‑related activities.

  • Respond to workplace queries on space use and optimisation ideas.

Operational & Vendor Alignment

  • Liaise with FM, Tech, Real Estate, and vendors during optimisation activities.

  • Monitor service delivery and collect data for performance reviews.

Governance & Documentation

  • Maintain accurate datasets, inventories, floor plans, and utilisation records.

  • Ensure activities follow standards and governance frameworks.

  • Keep process documentation and playbooks updated.

Success Measures / KPIs

  • Accurate and consistent utilisation reporting.

  • On‑time delivery of optimisation activities and pilots.

  • Improvements in performance metrics (occupancy, booking accuracy, colleague feedback).

  • Positive feedback from the Workplace Optimisation Manager and stakeholders.

  • Clear, up‑to‑date documentation and governance alignment.

What you'll need

  • Experience in workplace, property, data analysis, operational planning, or a related field.

  • Strong analytical skills with the ability to interpret data and translate findings into insights.

  • Confident with digital tools and systems (Excel, Power BI, booking systems, sensor dashboards, space planning tools).

  • Excellent communication and stakeholder engagement skills.

  • Highly organised, with strong attention to detail and the ability to manage multiple tasks simultaneously.

And any experience of these would be really useful

  • Experience in hybrid working environments or workplace strategy.

  • Understanding of workplace design principles or space planning.

  • Exposure to facilities management or property operations.

  • Experience running surveys, collecting feedback, or supporting change initiatives.
