To ensure the provision of a full range of administrative, clerical and reception support service for the Acute Medical Unit, Ward Manager and Clinical teams.
The post holder will be responsible for providing administrative support to the unit to ensure its smooth operation and running. The post holder’s primary role will be to assist in providing a comprehensive efficient administrative system to the unit’s multidisciplinary staff that ensures they are supported in their roles. Working as a member of the team they will act as the main focal and central access point for communication within the unit and be responsible for collating and disseminating information and data that facilitates the day-to-day unit operation. They will help all levels of staff, patients, relatives, and members of the public as well as outside organisations and agencies. Using their communication skills, the post holder will have the ability to use their initiative, working with minimal supervision to tight deadlines and maintain a flexible approach whilst respecting confidentiality for work undertaken.
This role is a 7 day rotational shifts working days and nights and all bank holidays included.
1. Be thefirstpointof contact for theunit, dealing with visitors. Directing all enquiries and anyday-to-dayproblems to the appropriate person/department.
Abletodemonstrate good interpersonal skills and communication skills working effectively as part of a team within a hospital environment with patients, visitors, relatives as well as medical, nursing and therapiesstaff.
To ensure patient records/informationisaccurately recorded on to the patient’s informationsystem.
Effectively deal with all enquiries, via the telephone and facetofacewith regard to patients,staff,internal and external agencies,orto escalate to the appropriatememberof the medicalteam.
Assistinmaintaining the reception area at all timesinan orderlystate.
Maintainthe confidentiality,safetyandsecurityofthereceptionarea reporting anyadversemattersto seniorstaffand orthesecurityoffice.
Assistinproviding a clerical/administrative service, supporting the useofclinical and corporate systems as appropriate (e.g., data input, word processing, spreadsheets,etc).
Admit/Discharge/Transfer patientsina timely manner, ensuring real-time activityisalways maintained.
