Summary
Main Duties and Responsibilities:
Administration Duties
To provide an administrative service to the Assistant Headteacher with responsibility for Disadvantaged pupils and the pastoral team which will include, but is not limited to;
typing/word processing documents
managing the filing system (paper and electronic)
taking and receiving telephone calls
making diary appointments / organising and arranging meetings
taking minutes / record keeping
To support the Assistant Headteacher in managing and responding to emails and parents' enquiries
To respond to requests from academy staff for support, for example, assisting with access arrangements paperwork and admissions.
To assist with production, circulation and promotion of student SEND plans.
To organise EHCP reviews; liaising with the LEA, inviting parents and outside agencies, typing, collating and distributing review reports
To deal with the administration of all new SEND pupils
To prepare draft letters and reports as required
To manage and organise the SEND calendar
To coordinate transition meetings with primary schools and prospective parents
To coordinate the disadvantaged transition events for Year 6 students
To maintain confidentiality at all times in respect of school-related matters and to prevent disclosure of confidential and sensitive information
Ensure there is a rota in place for the first aid provision in school when required
Organisation of the school immunisation programme with the school nursing team
Welfare
Support the Head of Estates on whole school First Aid provision – acting as main First Aider and coordinating support from other First Aiders.
Ensure that all students that require one have an Individual Health Care Plan which has been reviewed, signed and is uploaded to Meditracker.
Audit of medicines to ensure they are in date and that parents have provided the required medication. Ensure relevant paperwork/information is on SIMS.
Audit of medical boxes around the school and ensure that all signs are kept up to date.
Coordination of response to a serious first aid incident i.e recording details of ambulance visits and providing phone support throughout the incident
Replenishment of first aid supplies
Liaise with trips leader when preparing medicines for offsite visits
General Support
Undertake lunch and/or break duties as required
Report pupil and Academy issues in line with the Academy’s policies for health and safety, child protection, behaviour management etc.
Attend meetings and training sessions as required
Be aware of and act in line with Academy policies and procedures as outlined in the staff Handbook
To handle all confidential correspondence and matters with discretion at all times
To undertake such other duties appropriate to the grade of the post as the Headteacher may from time to time reasonably determine
