We are looking for a detail-oriented and proactive Scheduler to join our team. This is a highly administrative role, essential to the smooth operation of our engineering and maintenance functions.
You will work closely with engineers, suppliers, and contractors to ensure jobs are scheduled, completed, and closed efficiently, maintaining high standards of communication and administration.
Job Description
The Scheduler will manage job allocation, liaise with supervisors and contractors, and maintain accurate records using CAFM systems (TRIRIGA), Excel, Power BI, and email.
This role requires excellent organisation, attention to detail, and a professional approach to daily interactions with internal teams and external partners.
Key Responsibilities
Schedule and allocate jobs to engineers and contractors via CAFM system and mobile platforms.
Monitor and prioritise reactive and critical jobs, informing supervisors as required.
Chase quotes from contractors and manage the invoicing process via email and other systems.
Maintain accurate records in Excel and Power BI, updating job status and completion certificates.
Liaise with engineers, supervisors, and suppliers to ensure timely job completion.
Provide daily administrative support to the engineering and operations teams.
Professional and Personal Competencies/Qualifications
Previous administrative or coordination experience.
Confident phone manner and excellent communication skills for daily interaction with engineers, suppliers, and contractors.
Strong organisational skills with the ability to prioritise and manage multiple tasks.
Detail-oriented and proactive, with a strong sense of ownership to drive tasks to completion.
