About the Role
As the Sport Systems Coordinator, you’ll take the lead in maintaining and developing the systems that underpin our sport services. You’ll ensure our leisure management system (LMS) and other customer platforms are configured, accurate, and optimised to support an excellent experience for all users — students, staff, and community members alike.
Working as part of our Customer Excellence Team, you’ll manage the relationship between Southampton Sport and our LMS, ensuring the customer journey is simple and streamlined. You’ll support troubleshooting queries, produce insightful data reports, and ensure our systems comply with GDPR and University standards. You’ll also contribute to digital development projects, helping us explore new technologies, AI opportunities, and improvements to the customer experience.
This is a varied role that combines system administration, data reporting, and customer service support — ideal for someone who enjoys both technical work and collaborating with people across teams.
Key Responsibilities
• Lead the relationship with our LMS; configure, maintain, and improve leisure management and digital systems to ensure smooth operation and a high-quality customer experience.
• Collaborate with internal stakeholders and external system providers to ensure effective use and ongoing development of our systems.
• Respond to and resolve complex system and user queries, escalating where necessary.
• Produce accurate and timely reports to support decision-making across Southampton Sport.
• Ensure compliance with GDPR and University data management procedures.
• Support the Customer Excellence Manager in service improvement projects, business reporting, and digitalisation initiatives.
• Represent Southampton Sport at relevant events, conferences, and system training opportunities.
About You
You’ll be a confident system user with a high level of computer literacy and a strong understanding of leisure management systems. You’ll be comfortable with professional email communication to customers and competent with data reporting.
You’ll also be a clear communicator who enjoys problem-solving and working collaboratively with colleagues and partners. The ideal candidate will have:
Experience using leisure management systems (e.g.Gladstone, Legend etc.).
Excellent IT skills, including proficiency in Microsoft Excel and other reporting tools.
Experience in a high-volume, customer-focused environment.
Strong attention to detail, organisation, and time management skills.
The ability to take initiative, manage multiple priorities, and work both independently and as part of a team.
Experience within a higher education or sport and fitness environment would be beneficial but is not essential.
