Location:Northwick Park Hospital
Are you highly organised and motivated with a passion for healthcare administration? Join our dynamic team at Northwick Park Hospital as anAcute Floor Administration Coordinator, the vital first point of contact for patients and visitors attending, referred, or admitted to the Acute Medicine wards.
Key Responsibilities:
· Serve as the initial contact for patients and visitors, providing excellent service and support.
· Accurately and promptly input electronic admission, discharge, and referral information.
· Work across multiple wards on a rotational basis, including Dryden AAU, Medical HDU ward, Crick AAU ward, AMUL5 AAU ward, Ambulatory Care Unit (SDEC), and Darwin/OPSSU Unit.
· Adhere strictly to Trust policies and the Data Protection Act 1998, ensuring confidentiality and sensitive handling of patient information.
· Flexibly to support the team to meet operational needs.
Shift Pattern:
· 12.5-hour shifts on a rotational basis including weekdays, weekends, and public holidays.
· Appropriate breaks provided.
Location:
· Based at Northwick Park Hospital.
· May be required to work across other Trust sites as necessary.

Main Duties
• Work effectively both independently and as part of a team, managing pressure and workload efficiently.
• Liaise with various hospital staff members to ensure smooth communication and coordination.
• Provide and receive routine patient information, including from GPs, with tact, discretion, and adherence to Trust and Caldicott guidelines.
• Handle enquiries professionally and cooperatively in person and over the phone from patients, medical personnel, and the general public.
• Serve as the initial point of contact for bereaved families and friends, demonstrating compassion, tact, and discretion.
• Maintain high concentration levels during daily duties, especially when inputting data and responding to queries, ensuring accuracy to minimise clinical risk.
• Manage potential exposure to distressing clinical information related to complex patient conditions and treatments with sensitivity.

Admin Coordinator – Key Responsibilities
• Process and securely store patient details related to ward admissions, outpatient clinics, and day-care services, using computer-based systems.
• Maintain a thorough understanding of medical records management.
• Provide administrative support to the clinical teams by assisting with locating patients, managing discharges, and recording deceased patients, ensuring compliance with all relevant Trust procedures.
• Monitor and maintain an adequate stock of topical information leaflets for patient and staff use if the computer system in on 'Down time'.
• Conduct audits and surveys on behalf of the Trust and the Strategic Health Authority to support quality assurance and compliance.
