Pay rate: £14.13 per hour PAYE
Role length: Anticipated 3 months
Working arrangements: Hybrid but will need to attend the office for training which could take up to a month or longer
Additional requirement: Driving Licence
The role:
We are looking for a Housing Allocations Officer to provide a comprehensive and customer focused administrative support service to the housing operations team in order to support the work of the team.
You will need to have an understanding of allocations and lettings processes, an understanding of local government departments or housing services and excellent administration skills, as well as having excellent customer service and communication skills to be able to work with a wide range of people.
Key responsibilities:
Provide a telephone and face to face service for housing clients contacting the Council in person, in writing and by telephone about their housing register application and how the Choice Based Lettings system operates. Provide advice and respond positively.
Assist with the operation of the Common Housing Register by checking and inputting new applications and updating changes to existing applications
Handle a range of telephone and general enquiries from both internal and external customers and contacts, including housing register applicants
Provide a comprehensive response but referring more complex cases to the Housing Allocations Team Leader as appropriate
Assist vulnerable applicants with completing forms and monitoring bidding process
Clearly explain relevant legislation to applicants in a way that is understandable, and appreciate the basic legal requirements of valid notice to quit
Perform a range of financial tasks, including control of petty cash, processing of creditor invoices, preparation of debtor invoices, handling and receipting income, and recording and monitoring the budgetary purposes
Maintain filing systems, scan and upload post, record annual leave, sickness and team responses
Organise a range of meetings for individuals and groups, to include preparation of material and facilities, minute-taking and other support at the meeting, and follow up work arising from the meeting
What the client is looking for:
Educated to at least GCSE grade C or above (or equivalent), particularly in English and Maths
An understanding of allocations and lettings processes
Understanding of local government departments or housing services
An ability to communicate effectively with a wide range of people, verbally and in writing
Proficient in Microsoft Office (Outlook, Word, Excel etc) and able to learn new software systems
Excellent customer service skills
Strong administration skills including minute taking
Ability to work with vulnerable people who need assistance with making an application
Previous experience of invoicing process within a local authority setting
