Location: KIMS Hospital, Newnham Court Way, Maidstone, Kent, ME14 5FT
Contract Type: Permanent, 25 hours per week.
Reports to: NHS Team Manager

About the Role

We have an exciting opportunity for an organised and proactive NHS Coordinator to join our team at KIMS Hospital in Maidstone. This is a key role supporting the smooth coordination of NHS referrals, bookings, and patient pathways — ensuring that every patient receives an efficient and high-quality service from referral to discharge.

You'll work closely with consultants, medical secretaries, referrers, patients, and our hospital administration teams to ensure NHS activity is processed accurately and efficiently.

This is a part-time role of 25 hours per week, to be worked Monday to Friday. The successful applicant will be required to attend the office each day; however, we can offer some flexibility around the specific hours worked each day between 9:00am and 5:00pm.

Key Responsibilities

As an NHS Coordinator, you will:

- Maintain NHS trust trackers and update all planned, booked and completed activity in a timely manner.

- Process new referrals via eRS (Electronic Referral System), ensuring accurate registration and triage.

- Support referrers with queries and escalate any capacity or service issues where needed.

- Ensure accurate data entry for NHS billing and reporting.

- Assist with DOS slot management and consultant availability tracking.

- Communicate effectively with patients to support good attendance and experience.

- Provide administrative support to the NHS team and manage incoming telephone and mailbox queries.

- Work collaboratively with internal teams to maintain compliance with NHS contracts and reporting standards.

About You

You'll be a confident, detail-oriented individual who thrives in a busy administrative environment. You'll have excellent communication and organisational skills, and the ability to manage multiple priorities with accuracy and professionalism.

Essential skills and experience:

- Strong administration and IT skills (including Excel and database systems)

- Excellent written and verbal communication

- Ability to manage time effectively and prioritise workload

- Experience in a customer-focused or healthcare administration role

Desirable:

- Experience working within an NHS or healthcare environment

- Education to A-Level standard or equivalent

- Awareness of the eRS (Electronic Referral System)
