Our client is a charity that has been a delivering a service to those experiencing homelessness on the streets of Ealing since 2011. The shelter operates an emergency-based night shelter during the winter months from November to March. During this period, the shelter hosts up to 14 people, providing them with food, safety, a warm place and friendly companionship. The charity is based on Christian values and beliefs.
The shelter operates through a network of venues and with over 200 volunteers. Volunteer coordinators located in each venue manage the day-to-day routine of the overnight stay and enlist volunteers to work across three shifts. The objective is for the shelter organisation to equip and facilitate venues, coordinators and volunteers to effectively run the daily shelter.
This part-time Operations Manager role is expected to be up to 15 hours a week over 7 months and reduced to 7 hours a week for 5 months. This is for an initial 12-month contract period. There is no fixed office base, so the work would be carried out from home, with mobile telephone and laptop provided.
The role would be worked through a split ofthe 15 hours over at least three days, preferably Monday, Wednesday and Friday. A core set of hours to be worked each day (i.e. 2-5 hrs) between 9:30am - 4:30pm, though number of hours can differ each day. The objective is to provide 'office' availability and communication evenly through the week.
The salary is based upon an hourly rate from £18 per hour.
The Operations Manager (Ops Mgr) is a senior lead role in the provision of the night shelter services. Though reporting to the team of trustees, this is largely a self-initiating role, setpriorities, make decisions and know triggers for escalation.
Key Responsibilities
1 Operational Management of the shelter operation
- Lead and coordinate aspects of planning, preparation and delivery of the shelter service.
- Venues agreed.
- Venue coordinators in place.
- Organise pre-season and end of season briefings, bedding collection (November) and return (March).
- Training requirements and provision for volunteers (i.e. First Aid).
- Oversee the smooth operation of the shelter venues during the open season, November-March.
- Manage, coordinate and maintain all relevant policies and terms for venues and volunteers.
- Manage the provision of resources and materials supplied to venues and for volunteer support.
- Establish and maintain accurate data for measuring and reporting, contributing to funding applications and capability to demonstrate the impact of the shelter.
- Administrative aspects for the running of the shelter 'office'. Responding to mail and follow up with agency partners.
- Communicating, working with and resource availability with Housing Justice, Ealing Council, Ealing Homeless Forum and other statutory bodies. Attending regular forums and where possible specific events and training.
- Maintain financial tracking of costs within scope and communication with the trustee treasurer.
- Develop and provision training for shelter staff, coordinators, and volunteers.
- Developing strategies and proposals to the trustees for progressing the shelter service and approaches to supporting the guests.
- With advice and support from the trustees and staff, the Ops Mgr will be the public face of the shelter operation
2Manage and communicate with venue coordinators and volunteers
- Establish open and trusting relationship with venue coordinators.
- Support coordinators with resources and capabilities for day-day running of shelter.
- Develop high-quality support, guidance, and leadership to empower coordinators and volunteers to deliver excellent service and manage shelter residents effectively.
3 Working with staff and Trustees
- Manage and support the Sheter Worker, who will report directly into the Ops Mgr role. Weekly meetings during the shelter season, providing support, workload management and review of guest plans.
- The Ops Mgr will be supervised by an appointed trustee. To meet regularly with the trustee and also attend trustee meetings, once a month in open season and less often in closed season.
Experience and Qualities for the Ops Mgr Role
- Working with those experiencing homelessness.
- Experience within an operations management role.
- Ability to liaise and work with housing, support services and other homeless agencies.
- Leadership experience with the ability to motivate people.
- Experience in service improvement.
- Ability to develop knowledge of housing and homelessness relevant legislation and best practices.

- A valid driving license and willingness to visit venues and deliver resources.
