Job Title: Legal Business Support Admin Officer

Pay rate: £24.78 per hour PAYE
The role:
The role operates within strategic guidelines but allows influence over service development and policy. It involves engaging with internal and external stakeholders to promote partnership working. The role includes managing and leading a high-performing team which involves providing comprehensive and efficient business support for Legal Services, supporting members of the Service Management Team (SMT) and the Director of Law, managing the Legal Services Finance and Admin Officers, and assisting the Senior Management Team with financial planning and administration for Legal Services.
Key responsibilities:
Lead and manage staff to drive high performance and efficient service delivery; develop and enhance team capability
Deliver a customer-focused service while ensuring optimal use of resources
Support the Director of Law and Senior Management Team (SMT) in achieving strong operational outcomes whilst monitor and control budgets to ensure financial compliance
Oversee and report on external legal spend on barristers, experts, and solicitors
Produce and manage monthly time charging and invoicing for legal service clients
Facilitate discussions with client teams to set and maintain service standards and quality
Manage the Legal Services case management system; gather and report performance data, client feedback, and benchmarking results
Support SMT in achieving and maintaining external accreditations like Lexcel; coordinate annual assessments
Oversee Legal Services’ ICT tools, including time recording and case management systems; maintain legal library and info systems
Assist SMT and Director of Law in tracking staff training and maintaining accurate records
Manage the Director of Law’s diary and communications; coordinate agendas and attend SMT meetings when needed
Ensure effective communication with internal and external stakeholders; manage incoming queries professionally
What the client is looking for:
Strong practice management skills/experience
Knowledge of working with various systems to help facilitate the role including IT systems
Knowledge of issues facing an in-house legal service
Knowledge of financial and management information systems, quality assurance systems, performance management, and marketing
Track record of working with legal officers at senior level within a busy legal department
Experience of assisting with implementing policy and strategy
Experience of developing and adapting administrative processes to meet business needs
Experience of working in an information sensitive environment
Communicating and influencing skills
Ability to use finance and management information systems for the monitoring of and reporting on indicators of performance, financial control, quality assurance and time recording.
Ability to assist with the formation and evaluation of options for the effective delivery of Legal services.
Ability to assist with developing new procedures policies and ideas for improving Legal Services.
Strong time management and multi-tasking skills to meet tight deadlines
Proficient IT skills, especially Excel
Understanding of case management system analysis and reporting
