Gateway Housing has been supporting communities to thrive since 1926. We are an ambitious London based housing association with over 3,000 homes in the heart of London’s East End. We provide social rented homes, shared ownership, and sheltered housing. We develop new homes too and are part way through an exciting programme to deliver another 250 homes by 2025. The role
We are looking for a Resident Services Trainee to work closely with members of the resident services team in managing customer relationships and providing exceptional service to achieve high levels of customer satisfaction. The role will involve working in the main areas within the resident services department including tenancy management, anti-social behaviour, lettings and rent and service charges
The post holder facilitates effective communication, coordinates resources to support service requests, manages queries and responds effectively to customer complaints.
Accountabilities
Your accountabilities will include but not limited to:
• Customer service: Provide courteous and professional customer service to general needs customers, leaseholders, and shared owners. Respond to inquiries, address concerns, and direct individuals to the appropriate resources or team members
• Meeting coordination: Assist in scheduling and coordinating meetings, preparing meeting agendas, taking minutes, and distributing meeting materials. Help with follow-up tasks and action items to ensure timely completion.
• Documentation and records management: Maintain accurate and organised records, databases, and documentation related to our customers, applications, and homeowner interactions. Ensure confidentiality and compliance with data protection regulations.
• Communication and correspondence: Assist in drafting and distributing communications, including letters, emails, and newsletters, to customers and stakeholders. Ensure timely and accurate dissemination of program updates, policy changes, and important information.
• Commitment to growth: Work closely with colleagues to increase knowledge of Resident Services, support with activities where possible, undertake tasks and take on a small patch.
• Reporting and data analysis: Assist in generating regular reports on program activities, homeowner satisfaction, and program outcomes. Help with data analysis and presentation preparation to support decision-making and program evaluation.

Key Skills, Knowledge and Experience:
• Strong written and verbal communication skills, with the ability to communicate effectively with homeowners and stakeholders
• Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines
• GCSE grades A-C in Maths and English
• Familiarity with relevant data protection and privacy regulations
• Proficiency in using Microsoft Office suite (Word, Excel, PowerPoint) and other relevant software applications
• Problem-solving abilities and a proactive approach to tasks.
• Ability to maintain confidentiality and handle sensitive information appropriately
• Flexibility to adapt to changing priorities and work in a fast-paced environment
