Summary

Purpose of Role

The Property and Facilities Manager will primarily be responsible for managing the delivery of new and major refurbishment projects, ensuring that the brands integrity is maintained, budgets not exceeded, and projects are built on time and to the requisite quality standards. Project work responsibility will include producing and maintaining project plans, creating and distributing reports and recording progress and updating plans, liaising with contractors and suppliers.

Key Objectives

  • Maintaining the PAUL brand design integrity
  • To establish, maintain and effectively manage strong relationships with key contractors and suppliers
  • Project management of new store openings and refurbishments, delivering them on time, controlling costs, from start to finish
  • Managing and maintaining a robust maintenance programme to ensure store standards are upheld and the customer’s experience is best in class.
  • Driving change throughout the stores and other premises to support energy saving initiatives and leading CSR projects within the stores.

Responsibilities

New Openings, refurbishments & maintenance

  • Liaising closely with all external contractors and departments at PAUL UK
  • Value engineering proposed specifications to reduce costs without imparting on the brands image
  • Minimising closure of trading shops/restaurants during capital works
  • Visiting sites to monitor progress, check work is to quality standards, resolve issues and endeavor to ensure health and safety requirements are practiced
  • Regular reporting and monitoring on the status of all projects
  • Handing over projects on completion to the Operations team snag free
  • Working closely with the Head of Operations of PAUL UK in maintaining relationships with clients and identify further opportunities
  • Managing the project process from initial brief from to sign off
  • Revamping Project Cost Analysis tendering out within brand guidelines, design evolution, taking control of feasibility plans, tendering and selecting building contractors, presenting to the CEO including weekly updates
  • Annual review of design manual, research of competitors in market place, visit to trade exhibitions to search for new ideas etc.
  • Co-ordinate shop refurbishment works in line with project plans and planning applications
  • Liaise with and supervise the work of suppliers involved in projects ensuring timely completion to budget
  • Ensure the aims of the project are met and that quality of finish and standards are adhered too
  • Ensure all records of all maintenance expenditure, accounting, costing and billing are maintained
  • Manage the day to day aspects of a project
  • Conduct regular quality assurance checks
  • Ensure project documents are complete, current and stored appropriately
  • Make recommendations for any efficiency gains with suppliers and maintenance processes
  • Post completion review and evaluation (cost control and efficiencies), post project reviews, challenging numbers from the QS etc.
  • Placement of all equipment orders at the correct stage to ensure project meets agreed timescales
  • Co-ordinate and liaise with the Architect for drawings and schematic reviews and approval
  • Create and maintain the Asset Register ensuring regular checks are completed for all Paul UK sites

Project Accounting, Cost Control and Reporting

  • Manage project budgets, track and report on all project spends
  • Check invoice batches for authorisation
  • Receiving, checking and reformatting weekly reports for review with the Operations Team
  • Monitor and prepare purchase orders as required, tracking and reporting all property expenses and spends.
  • Develop lasting relationships with suppliers through effective communication that can provide cost effective solutions

Health and Safety

  • Assist with providing current information concerning health and safety policies and practices
  • Assist with proper and timely assessment of risks to health and safety, and implementation of measures and arrangements identified as necessary from the assessments
  • Liaison as necessary with other organizations and relevant authorities, and assistance and cooperation concerning audits and remedial actions
  • Help identify prevention and precautions against, or adequate control of, exposure to hazardous substances, and danger from flammable, explosive, electrical, noise, radiation and manual handling risks
  • Support Finance team on legal insurance related H&S, accident claims that arise from property related incidents
  • To maintain and consistently improve existing systems and controls to improve service, minimise logistics costs and drive quality ultimately supporting company expansion
  • To proactively resolve problems and effectively respond to change by initiating appropriate actions, communicating urgency and establishing priorities so that commercial targets are met
  • Assist with renewal dates and deal with planning applications with appropriate councils
