Summary
Project Coordinator | Leyton | 2 year Fixed-Term Contract | 37.5 hours per week | £41,000 per annum
Our client takes pride in the continuous evolution of Community Transport Services to benefit the wider Community. They are seeking a dynamic and experienced Project Coordinator to lead a groundbreaking feasibility study into the future of community transport across the boroughs of Haringey, Hackney, and Enfield. This role offers a unique opportunity to shape a sub-regional model of accessible transport provision, developing new models of community transport that will have a direct impact on residents facing barriers to mobility and access.
The study is externally funded, and the Project Coordinator will be responsible for overseeing the planning, execution, and monitoring of the feasibility output of the feasibility study. They will ensure the delivery of the study is on time and within scope and budget. They will lead by ensuring there is a high-quality output from the feasibility study and an effective evaluation of the research project with embedded meaningful community engagement. They will ensure there is efficient coordination of internal and external teams, including regular reporting to the project board. The post will provide line management support to the Data Assistant.
Are you the right person for the job?
• Bachelor’s degree in Business, Project Management, or a related field (preferred)
• At least 3 years of experience in project coordination or project management, ideally within not-for-profit services, transport, health, or local government
• Proven ability to manage complex projects, budgets, timelines, and multiple workstreams simultaneously
• Strong understanding of project management methodologies (e.g., Agile, Waterfall) and tools (e.g., ZOHO, Asana, Jira, Trello)
• PMP, CAPM, Agile, or Scrum Master certification (preferred)
• Experience coordinating diverse teams, including external consultants or researchers
• Experience working with older and disabled people or on inclusion-focused projects
• Strong understanding of community engagement and co-production approaches, especially with marginalised or underrepresented groups
• Understanding of accessible transport policy, social inclusion, and health inequalities
• Awareness of challenges in community transport provision, particularly in urban and sub-regional contexts
• Excellent written and verbal communication, organisational, and time management skills
• Demonstrated ability to work effectively with cross-functional teams and address challenges proactively
• Experience in line management and staff supervision
• Familiarity with data protection, ethical research practices, and inclusive engagement methods

What will your role look like?
• Lead in the planning and implementation of project tasks and milestones
• Coordinate and communicate with Project teams, Stakeholders, Commissioned Consultants, and Vendors to ensure tasks are completed on time and in alignment with project objectives
• Prepare and maintain project schedules, timelines, and progress reports
• Schedule and facilitate project meetings, including start-up, progress updates, review meetings, engagement activities, focus groups, and arranging of venues
• Maintain and organise all project documentation (e.g., project plans, reports, contracts, etc.)
• Track project budgets, timelines, and resource allocation
• Prepare regular project status reports, highlighting progress, issues, and potential risks
• Assist in identifying project risks and issues and help implement mitigation strategies
• Track project issues and assist with resolution or escalation as required
• Foster effective communication across all project stakeholders
• Update team members on project status and changes to timelines, deliverables, or scope
• Act as a liaison between Internal teams and External Clients/Vendors
• Maintain project documentation and produce regular progress reports for the Project Board and senior management
• Contribute to the online and social media dissemination strategy, supporting broad engagement with the findings
• Planning and delivering outreach activities, including engagement activities with stakeholders
• Ensure project deliverables meet the required quality standards
• Suggest process improvements based on project observations and feedback
• Assist in the management of project resources, ensuring that teams have the necessary tools and support
• Monitor the allocation of tasks and workload across project members to ensure balanced and timely execution
• Line manage the Data Assistant, providing regular and effective support and supervision
• Ensure that all project activities comply with organisational project management methodology, processes, and best practices
• Apply practical knowledge of project management tools (e.g., Zoho) to monitor and document project progress
