Summary
We are looking for an enthusiastic, flexible and dynamic Receptionists to join our North Central and Inner Northwest Divisions. The ideal candidates will be highly motivated individuals, who are passionate about ensuring our patients are dealt with in a compassionate and efficient way and helping your teams develop in their roles. These roles will include direct face to face patient contact.
The post holder will take responsibility of the co-ordination and smooth running of the reception area in a professional and courteous manner ensuring that the reception areas are fully operational during published opening times, providing excellent customer service to service users and support the clinical and management teams in the smooth running of the department.
Please not you require a minimum of 6months experience and this role can close early depending on the volume of applications.
• Provide a professional welcome to patients, carers, staff and visitors and signpost them to the relevant departments
• To ensure that patients are treated with dignity and respect and that personal information is conveyed with tact and diplomacy
• To contribute to the improvement of the ‘patient experience’
• To ensure that on arrival patients’ details are checked and updated ensuring ethnic monitoring information is recorded
• Ensure patients are booked in for walk-in appointments accurately and in a timely manner
• Ensure that patient appointments are booked appropriately according to their urgency and within clinic/speciality rules and standards
• Provide patients with letters/appointments cards as appropriate for their needs.
• To contribute to initiatives for communicating with patients who may not easily understand because of cultural or language differences, physical or mental special needs, or due to age
• To ensure that patient transport, interpreters and other support services are booked as required
• Maintain a recognised filing system for all documentation including scanned documents.

• To supervise the distribution of incoming faxes and sending outgoing faxes in line with Data Protection
• To deal with deliveries of supplies.
• To ensure that the signing in and out of the building system is in place.
• To liaise with Estates regarding clinic repairs if required.
• To liaise with IT department as required
• To deal with queries around car parking issues in and around the centre.
• To ensure that security is maintained and that all maintenance issues are addressed promptly
• To assist in maintaining a clean, safe environment for children/parents/carers/staff and visitors to the clinic in accordance with fire, health and safety procedures
• To chaperone clinics where required
• Ensure service users presenting for treatment meet the required eligibility criteria.
• Ensure all new patient referrals are triaged by the relevant clinician in a timely manner and entered into the patient record database if appropriate
