Summary

Post Title: Pharmacy Assistant Team Lead Stores & Receiving Pay Band: Band 3 Hours: 37. 5 hours per week Contract: Permanent Location / Department: Pharmacy, Worcestershire Royal Hospital Accountable & Reporting to: Dispensary Manager Key Working Relationships: Co-workers within pharmacy participating in Goods Receiving duties, procurement and invoicing staff, lead technicians and Assistants, manufacturers and suppliers of pharmaceuticals, nursing staff. Job Purpose: To be the lead assistant for the implementation and ongoing compliance with all government mandated medicines verification schemes. To co-ordinate work flow within the stores in conjunction with the Deputy Medicines distribution and Stores Manager, Dispensary Manager and Stock Distribution Lead. To suggest and help implement any stores transformation plans, systems for workflow targets and stock management systems. To be a key member of the operational team, train and supervise staff and function as the Lead assistant contact for Stores and Goods Receipt. Prepare purchase orders to suppliers of pharmaceuticals including obtaining drugs in an emergency, supplying drugs and IV fluids. To maintain dispensing competency if not part of day-to-day role. To act as a role model for Pharmacy Assistants in all areas of work, supporting colleagues and liaising professionally with all member of the departmental management team to provide the best possible care for patient Risk Assessment: The post-holder will Frequently work within a small, enclosed space for long periods of time whilst receiving, topping up, inputting data onto the pharmacy computer system and dispensing. Frequently handle cytotoxic drugs and hazardous drugs as defined by the COSHH Regulations for short periods of time whilst dispensing, receiving stock, and topping up. Frequently be involved with the moderate physical effort associated with the manual handling of bulk fluid boxes, ward delivery boxes and deliveries from Suppliers for short periods of time whilst receiving and issuing stock around 6-15kg. Use Manual /electric pallet truck to move stock within confined spaces, approx. 500kg. Frequently sit at a VDU inputting data onto the pharmacy computer system whilst involved with booking in goods, topping up and undertaking administrative duties. Frequently have their work routine interrupted by demands placed on them by other staff members, especially when needing to obtain drugs in an emergency. Key Duties: Team Lead Role To act as the Lead assistant for Stores and Goods receipt, working closely with Dispensary and Stock Distribution Manager, Deputy Medicines distribution and Stores Manager and Training Leads to develop stores and goods receipt training for ATOs, and to support the delivery of this by organising and assisting with the training delivery as delegated and appropriate. To co-ordinate work flow within the stores and escalate any problems and issues. To suggest and help implement any systems to ensure workflow targets are met. To assist in the development and implement and train relevant staff to ensure compliance with government mandated medicines verification schemes. Use and train pharmacy staff and porters to use manual and electric pallet truck and trolleys to manoeuvre pallets of IV fluids from receiving point to pharmacy stores and pharmacy stores to the main department wards and clinics following departmental SOPs. Stock Management Responsibilities To suggest and help implement any planned stock management systems including liaising with procurement to ensure seamless returning of goods to suppliers. To assist all section Lead Technicians to ensure stock required is available including the management of stock discrepancies and stock location allocation and computer adjustment. To assist in the development and implementation of a new system to ensure all items required are available for staff to complete a prescription. Ensure that stock of bulk fluids within the main pharmacy store and the loading bays pharmacy store is rotated according to departmental procedures and that adequate stocks are maintained to meet routine and non-routine service demands. Ordering goods Liaise with the procurement team at the Alexandra pharmacy ensuring that there is a seamless provision of service with regards to orders. Act as a departmental first point of contact for pharmacy staff on non-routine ordering matters. Chase up any delayed outstanding orders with suppliers and Procurement team at Alexandra Hospital. Managerial Responsibilities To function and act as a role model for Pharmacy Assistants at all times projecting professionalism in all areas of work and conduct, being approachable and supportive to colleagues and liaising with managers to support departmental policy, procedure, ethos and standards to the benefit of patients. Assist in the review of SOPs and in the implementation and training of staff. To express any concerns over the competency of team members in relation to the safe and accurate delivery of their duties, to the most appropriate member of the Operational Management team. To provide cover for other Pharmacy Assistant Team Leads in their absence. Receiving and distributing goods Supervise Pharmacy Assistants rota'd to receive pharmacy goods. This will include: Ensure that Pharmacy Assistants check and receive stock onto the Pharmacy computer system and put receipted stock away promptly and accurately within the department according to departmental SOPs. Ensuring that staff are able to resolve basic issues as defined within SOPs. Ensuring that staff observe Health and Safety good practices, especially in relation to load handling and COSHH within the Pharmacy Store. Ensuring that appropriate communications take place between Stores staff and other parties, including the procurement team at the Pharmacy, Alexandra Hospital, Suppliers and other service users. Deal with non-routine issues relating to receiving stock as defined with SOPs. Organize non-routine returns to Suppliers including preparation of Credit Note and appropriate arrangements for uplift by manufacturer. Provide cover for goods receipt as required. Ensure the error monitoring process is followed by all stores staff. Liaise with procurement staff processing invoices and helping to problem solve ensuring that payments are not unduly delayed. Assist in the distribution of medical supplies between hospital departments. Assist with any action plans relating to MRHA Medicine Recalls, or medicine shortages when required. Other General Duties: Distribution To supply stock and non-stock ad-hoc requests of drugs to wards and departments where requested on pharmacy order sheets by nursing staff ward based pharmacy technicians and pharmacists, and input this on the pharmacy stock management system. Dispose of out of date, wasted and unwanted medicines by placing in the correct waste stream container. Ward role If required provide a pharmacy top-up service to a wards. This will include checking through medication stock cupboards to identify items that are required and the ordering them on the pharmacy computer system. You will also be required to carry out an expiry date check of the ward stock cupboards and return any out of date items and any over stocks. Stores Unpack deliveries from Suppliers and check goods against delivery documents enclosed. Check delivery against the EMIS order and receive items onto the Pharmacy Computer System if correct. Handle routine discrepancies and problems with deliveries appropriately, escalating as appropriate. Put receipted stock away promptly and accurately within the department according to departmental SOPs. Assist in maintaining the pharmacy Archive Store including filing of paperwork. Stock control Ensure that stock is rotated and that adequate stocks are held to meet normal demands whilst preventing wastage due to over-stocking. Check stocks on a regular basis to ensure that computer records are accurate, investigating and escalating any discrepancies where appropriate. Undertake expiry date checking of stock on a rotational basis as appropriate. Dispensary: Participate in the provision of reception duties within the Dispensary. Dispense items for in-patient, out-patient and take-home prescriptions within the dispensary as defined within the departmental SOPs, after successfully completing the internal dispensing competency. Liaising with the professional checker over any problems identified with the prescription such as out-of-stocks or inadequate stocks. Core responsibilities: Participate in the Trusts Skills Development Review process . Follow all departmental Standard Operating Procedures at all times. Be personally responsible for keeping up-to-date with all relevant SOPs, policies and communications within the department and, where appropriate, the Trust as a whole. Maintain patient confidentiality at all times according to Trust procedure and policy. Act in a professional, caring and responsible manner at all times ensuring that the needs of patients and all customers of the Pharmacy Service are met. Assist in the induction and training of new and less experienced staff members and students. To participate in the Departmental Bank Holiday and weekend rota.
