Key duties and responsibilities include: Co-ordinating and servicing meetings and events across gtd healthcare as required, including the Boards, sub-committees, working parties, workshops, steering groups, etc. This includes the following (non-exhaustive) duties: Preparing and distributing agenda and papers: preparing the draft agenda for discussion with and approval by the Chair, drafting any papers for submission to the various meetings, liaison with other gtd healthcare colleagues regarding the submission of papers to support the meetings, finalising the agenda and papers and producing and distributing papers in accordance with set deadlines. Compiling and distributing meeting summaries, action notes and minutes in accordance with set deadlines. Preparing and circulating documents for comment (e.g. consultation papers, draft reports), collating responses and preparing the final documentation for submission to corporate meetings. Briefing Chairpersons, as required, in advance of meetings. Co-ordinating and monitoring follow-up actions arising from meetings. Familiarisation with the gtd healthcare Memorandum, Articles of Association and Constitution, including the Our Peoples Trust, Trust Deed. Managing membership information and database records (where applicable), e.g. circulation lists, stakeholder lists, web pages, etc. Assisting with the preparation and distribution of the annual calendar of meetings for gtd healthcare corporate fora and meetings, and make arrangements for these meetings to take place (either in person or virtually). To support the Chief Executive and Head of Corporate Affairs with reviewing relevant corporate policies and procedures. This will involve liaison with gtd healthcares corporate legal advisors. Organising meetings, arranging events, collating appropriate papers and gathering information in advance of specific meetings for Executive Directors. Support recruitment and induction of new Board level positions. Maintain up-to-date information on the Companies House database in relation to the gtd healthcare corporate structure and Directors entries. To work alongside the corporate affairs team to: Maintain and update accurate internal and external corporate information such as structure charts, staff and stakeholder distribution lists and Board member information, which are communicated via e.g. gtd healthcares website, extranet, corporate monthly updates and tender documents. To monitor and edit key areas of gtd healthcares website and extranet to ensure information is accurate. Manage the administration of the document portal, which is the central depository of all policies, procedures and guidance. Key to this role is to ensure a structured process is followed and the database and online system are continuously monitored and maintained for accuracy. Develop a good working relationship with external graphic designers to support with maintaining the accuracy of corporate information. Support the corporate affairs team with corporate engagement activities whether these are face-to-face, virtual or via surveys. Support the Head of Corporate Affairs with monitoring, reviewing and administering relevant local and national award schemes, which would enhance gtd healthcares reputation and have a positive impact on our people. Deal with general enquiries received via the corporate affairs email inbox, which might include members of the public, and external stakeholder organisations. A number of these will require immediate action and be unpredictable. Ensure all information that is issued on behalf of the corporate affairs team meets gtd healthcares brand guidelines.
