Information Technology and resource management. Access and input confidential information through integrated database in accordance with the agreed policy and procedure. To contribute to clinical audit and research in accordance with clinical governance. Demonstrate substantive competence in standard range of IT programmes including Microsoft Office, Word, Outlook and Excel programmes and internet required to undertake all administerial tasks. To ensure all information is stored and used within the requirements of the Data Protection Act and always maintain confidentiality. To monitor stocks of stationary/other items. To complete stock/non-stock requisitions as required and present to the appropriate Manager for signature. To ensure they are sent to procurement and that adequate records are kept of all orders for monitoring by the appropriate Manager and liaise with procurement as necessary. Excellent typing skills and is able to undertake typing duties using advanced word processing skills. This may include letters, patient reports and general correspondence. To take responsibility for the computer system and back up procedures. To ensure compliance with the Data Protection Act within the office systems. To ensure the office e-mail system is monitored and managed. To be able to use e-mail for communications across the sites. Planning and Organisational Skills To be able to work effectively as part of ERAS and Preoperative Physiotherapy teams To be able to plan and prioritise own workload within a busy office environment. To process new outpatient referrals to the department following departmental protocols. This will include checking patient details. To book transport for patients as necessary. To be able to undertake general clerical duties as necessary: photocopying, obtaining patients records and distributing the post. To be able to organise and minute meetings efficiently. To take responsibility for filing patient records according to protocols. To manage and maintain a comprehensive filing system for patient records and other patient related information, which fulfils departmental and Trust requirements. To record and respond to requests for patients records in respect of legal cases. To ensure procedures for dealing with reports for legal purposes are followed. To arrange outpatient appointments and manage EPR and the diary system according to agreed procedures. To rearrange appointments and resolve any disputed appointment times. Contact patients who fail to attend appointments by telephone, email, text or letter, rescheduling appointments as necessary. 11. To participate in projects as necessary and as directed by your Line Manager. 12. To ensure managers/supervisors are informed about issues affecting the service as necessary. 13. Show flexibility in supporting team members in periods of increase in service demand, holiday and sickness. Personal Development 1. Identify personal education needs and skills development with the manager/mentor. 3.
