Summary


Team Secretary - Band 3

Full time - 37.5 hrs per week

Working hours – 8am to 4pm, or 9am to 5pm, Mondays to Fridays, flexible rota working week

Rise Early Helpis a well-established multi-disciplinary team within Coventry and Warwickshire Partnership Trust. We work in partnership with different providers across Coventry and Warwickshire including Coventry and Warwickshire Mind, GP surgery’s, schools, children’s services, and parents/carers to promote positive outcomes of mental health and emotional wellbeing for children, young people and their families.

Recent investmentand expansion in the Rise Early Help Service has led to several administration opportunities across Coventry and Warwickshire. This role will offer a blended approach to working with some presence needed in a base but also able to work from home which is negotiable on appointment.

The post holder will play an important role supporting our Rise Children and Young People Services. You will be required to support the admin team in providing efficient and comprehensive administrative support to clinicians and managers and will work within an integrated and skill mixed admin team to support clinical service delivery.

Who we’re Seeking: We’re looking for applicants with previous admin experience to join our current admin team in providing a secretarial service to clinical teams, supporting the growing demand for provision of care.

We are looking for applicants who are friendly and approachable with effective communication skills, who can build good working relationships within a fast-paced environment. As well as being a team player, we seek applicants who can demonstrate sensitivity/confidentiality due to the nature of the service and able to work autonomously with a flexible approach and strong work ethic to prioritise and multi-task.

The Job Role: You will provide a comprehensive and accurate administrative and secretarial service; this will include

production of referrals,

letters,

e-mail communication,

booking/rescheduling patient appointments,

accurate data inputting onto electronic patient records system (Carenotes/BCP),

scanning, printing, uploading,

Minute taking

answering of complex telephone queries and the ability to exercise judgement and work unsupervised to meet deadlines.

Skills and Experience: Knowledge and experience of Microsoft Office systems is essential whilst training will be provided for in-house systems. Previous administration/secretarial skills are required along with minute taking , an excellent telephone manner with communication and IT skills.

The roles are based at site but can be supported with some home working on a flexible rota basis in line with service needs, for which equipment will be provided (NB a home wi-fi network is required with a confidential space to work in). Due to the service being spread over a number of sites across Coventry and Warwickshire, you may be required to travel to support delivery, or attend training, for which travel expenses would be paid.
